The office coordinator job is a 40-hour support position that is responsible for preparing and initiating administrative office-related tasks associated with the day-to-day operations of Campus Safety and Emergency Management Services (CSEMS). The position works in an energetic, semi-public facing office and responsibilities include exceptional interpersonal and communication skills, good judgement, confidentiality, initiative, and ability to work independently or as a team.
The office coordinator position handles multiple tasks and has the ability to prioritize numerous responsibilities to meet deadlines.
Education and Experience * Associate's degree and/or equivalent combination of education and experience, plus 2-3 years administrative support and general clerical experience.
* Personal history background check and participation in random drug/alcohol testing required by department.
* Experience working with diverse populations, in a college/academic setting preferred.
Skills and Knowledge * Proficient with Microsoft and human resources/payroll related applications.
* Experience with initiating and submitting web-based forms related to special work orders and/or purchase requests.
* Ability to track and troubleshoot office technology maintenance issues and articulate subsequent repair needs to vendor(s). * Calendaring, online, remote meeting setup experience required.
* Experience in higher education and/or not-for-profit business models a plus.
Responsibilities * Prepares purchase requisitions and initiates inter-departmental journal entries.
* Scans and organizes administrative files to an electronic filing system.
* Assists with employee travel and expense processing as directed.
* Assists with generating general ledger reports.
* Coordinates maintenance for office technology (i.e.
machines such as biz hubs, printers, phones, etc.) * Monitors supply inventories and purchase requests; coordinates approved orders.
* Distributes receivables as needed.
* Assists with coordinating internal department events and community-based programs.
* Assists with coordinating meetings and/or travel as directed.
* Assists with placing building maintenance requests.
* Other duties as assigned.
