Function / Position Summary
Provide assistance in the implementation of the National School Breakfast, Lunch, and Supper Programs guidelines and requirements in accordance with federal, state, and local regulations. The secretary ensures safe and effective school department operations through office management, communications, collaboration with other staff, and directed procedures. The person in this position must have expertise, strong time management, multitasking, and prioritizing skills while upholding School District U-46 ICARE Standards and utilize excellent verbal and written communication skills to ensure all timelines are met. Maintain confidentiality of student/ staff information in the school and community.
Job Duties / Responsibilities
Assist in daily bilingual communication with parents and community members regarding meal benefit applications, providing support for all services provided by the department.
Greets clients, visitors, and guests; determining the purpose of each visit and direct them to the appropriate individual.
Answers, screens, and directs phone calls to staff, take messages, and research, resolve, and respond to Food Service administrative questions
Assist with the screening of meal applications and income verification online or in person.
Initiate, monitor, and process food rebates from manufacturers.
Assist with student meal account refunds and transfers.
Translate, print, and distribute monthly menus, signage, and communication.
Review and update pricing of auxiliary services on a regular basis, maintaining designated spreadsheets, logs, or department files.
Assist with annual uniform, supply, and promotional orders and fulfill as requested.
Facilitate communication with milk vendor to place orders and resolve delivery issues.
Assist with setting up new user accounts with vendors.
Perform general clerical and secretarial duties, as requested, which may include recordkeeping, maintaining office supplies, initiating product transfers, and handling packages.
Back-up to Food Service Bookkeeper.
Assist with annual budget needs.
Performs other related duties as assigned. Education
High school diploma or equivalent required.
Associate's degree in related field preferred. Experience / Knowledge
Three years of secretarial duties preferred. Ability to multitask
Knowledge of department policies, procedures & regulations.
Capability to maintain complex records, express ideas effectively, both orally & in writing.
Experience with Computers, Scanners, Printers, Faxes
Experience with Microsoft Office or Google. Strong ability to provide a high level of customer service to students, staff, parents, and district personnel.

Bilingual- English/ Spanish written and verbal is required Physical Demands
Ability to work on a computer/ telephone over the major portion of the day.

This is a ten-month position.
Salary and Benefits are as established by the Board of Education.
Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of support service personnel. Additional Information
