Job Description:
TITLE: Residence Hall Office Assistant (hiring throughout the year as positions become available)
DEPARTMENT: Residence Life and Housing
SUPERVISOR: Residence Life Professional Staff Member
SCHEDULE: Maximum of 18.5 Hours per week
Position Description
Assisting professional staff
Responsibilities
Provide friendly and courteous service to students and visitors to the Residence Life Office
Answer phones and related questions from callers, check voicemail and distribute messages
Sort and distribute mail
Support professional staff with tasks, interact with faculty, students, graduates, and family members
Keep the office organized and clean
Distribution of toilet paper and trash bags to residents
Assist with lock-outs
Cart distribution
Work independently and have strong interpersonal and communication skills
Use MS Office, Google products and other software and web based programs as needed
Work all scheduled shifts, arriving on time and working until the next scheduled person arrives. Update the next shift on any significant information, activity or incidents that may have happened during the shift
Be familiar with the policies and procedures in the Residence Hall Handbook
Report maintenance work as needed in public areas
Work in conjunction with University Police and Residence Life student and professional staff during emergency or crisis situations
Report damage or theft of University property to Residence Life professional staff
Report emergency situations to Residence Life professional staff
Provide information and referrals to appropriate university offices to students
Before and after conferences, tasks such as check in/check out, creating signs, trash removal, linen pickup, linen delivery, and linen laundry, provide information, key inventory.
Understand the role of the Office Assistant as a part of the Office of Residence Life and establish effective working relationships with all student and professional staff
Act professionally and as a role model to residents at all times
Perform general office tasks as assigned
Requirements:
Knowledge of the English language including spelling, word meaning and word usage.
Ability to understand and apply the laws, rules, policies and procedures.
Ability to read, write, and comprehend standard business English.
Ability to use proper grammar, punctuation and spelling.
Ability to follow written and oral instructions.
Ability to assemble items of information in accordance with established procedures.
Ability to work accurately with names, numbers, codes and/or symbols.
Ability to file material in accordance with standard filing procedures.
Ability to maintain accurate records.
Ability to communicate effectively in oral expression.
Ability to establish and maintain harmonious working relationships with others.
Ability to deal tactfully and respectfully with others.
