Manager, Accommodations - Financial Operations & Contracting:

The Manager, Accommodations - Financial Operations & Contracting is a key operational lead within the LA28 Accommodations team, responsible for overseeing the full lifecycle of contracts and financial processes across a high-volume, multi-stakeholder environment. This role ensures the accurate and timely execution of hotel and vendor agreements, budget monitoring, invoice processing, and compliance with LA28's financial policies and systems.

The position is a strategic connector between Accommodations and internal partners including Legal, Procurement, and Finance, while also maintaining a close working relationship with the Manager, Accommodations & Systems Operations to ensure contract and financial data are accurately captured in the reservation platform and aligned with operational outputs.

This role requires strong attention to detail, the ability to track multiple contracts and financial workflows concurrently, and the confidence to drive process improvements and system adoption across the department.

This role reports to the Senior Manager, Accommodations - Operations, Systems & Finance.

Key Responsibilities:

Serve as the Accommodations department lead for all hotel and vendor contracts, including initiating, drafting, redlining, routing, and executing agreements and amendments

Maintain comprehensive tracking systems for all contracts, deposits, payment milestones, cancellation terms, attrition clauses, and financial risk indicators

Partner with the LA28 Legal, Finance, and Procurement teams to ensure full compliance with internal contracting policies, controls, and approval workflows

Develop and manage stakeholder-specific budget trackers, maintaining accurate forecasting, reconciliation, and variance reporting for accommodations expenses

Review, process, and reconcile invoices and payment requests, coordinating with Finance to ensure timely disbursement of funds or issuance of refunds

Work with Procurement to manage pre-payment structures, purchase order creation, and contract closeout documentation

Maintain a centralized, audit-ready repository of executed contracts, amendments, and all associated financial records

Support Games-time financial closeout processes, including financial reconciliations, reporting, and documentation handoff to Finance

Contribute to the creation and maintenance of SOPs related to financial and contracting workflows within Accommodations Background & Qualifications:

5+ years of experience managing financial operations and vendor contracting in fast-paced environments, preferably in mega-events, hospitality, sports, or entertainment industries

Proven track record in overseeing high-volume invoice reconciliation, payment scheduling, and contract tracking tied to strict delivery timelines

Demonstrated experience managing budgets exceeding $20M, including maintaining real-time tracking tools and conducting variance analysis

Hands-on experience with contract execution, including drafting, redlining, routing for signatures, and managing amendments

Strong understanding of financial terms and compliance requirements, including deposits, attrition, cancellation penalties, and minimum guarantees

Prior exposure to working cross-functionally with Legal, Procurement, and Finance departments on contract and payment mattersPosition Requirements:

Ability to work on-site in an open office environment based in Los Angeles, CA

Must be able to manage high volumes of financial and contractual documentation with a high degree of accuracy and minimal oversight

Comfortable working long hours during peak periods, including Games-time operations and financial closeout phases

Ability to attend in-person meetings at LA28 offices or partner locations as needed

Willingness to adapt and reprioritize tasks in a fast-evolving environment with shifting timelines and cross-departmental dependencies Education:

Bachelor's degree required in Finance, Accounting, Business Administration, Hospitality, or a related field

Advanced Excel skills required (pivot tables, conditional formulas, reconciliation templates)

Familiarity with LA28 or Olympic/Paralympic procurement and contract compliance standards is a strong asset

Experience using platforms such as DocuSign (for routing/execution), SAP Ariba or Oracle (for financials), and Smartsheet or Salesforce (for tracking/reporting) is strongly preferred

Certification in contract management (e.g., IACCM, CPCM) is a plusExpectations:

Highly organized, deadline-driven, and comfortable working in a matrixed, high-pressure event environment

Proactive in identifying contractual risks, financial discrepancies, and recommending corrective actions

Able to translate contract terms and financial obligations into internal reports and summaries for non-technical stakeholders

Strong interpersonal skills with the ability to build working relationships with hotels, third-party vendors, and internal departments

The annual base salary range for this position is $88,000 - $115,000. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28's operational business needs and applicable law.
