Position Description Advertised Job Summary Executive Assistant & Operations Support * Are you an organized, proactive professional with exceptional administrative skills?

The Executive Assistant and Operations Support will provide high-level administrative support to the Associate Vice President for Student Success while assisting the Admin & Operations Coordinator in supporting various units within the Student Success Department.

This role requires regular interaction with university stakeholders, staff, and students.

Key responsibilities include managing and prioritizing the Associate Vice President's calendar, meetings, and events.

Additionally, the Executive Assistant will oversee administrative operations for the AVP's office and provide support to departments within the Student Success Unit, including the Carolina Experience, the Student Success Center, the Career Center, and Academic Assessment & Quality Improvement.

Key Responsibilities: * Manage and prioritize the Associate Vice President's calendar, meetings, and events.

* Oversee administrative operations for the Associate VP's office and departments within the Student Success Unit.

* Prepare reports, presentations, and data analysis for student success initiatives.

* Coordinate projects, track key issues, and ensure follow-up for effective office operations.

* Serve as the primary liaison between the Associate VP's office and university stakeholders.

* Support event planning, logistics, and execution.

* Facilitate communication and collaboration within the Student Success Unit.

Job Related Minimum Required Education and Experience * Requires a bachelor's degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications * Bachelor's degree and 3 years related experience in business, public administration or administrative services; or equivalency.

* Experience operating within a large university.

* Knowledge of or ability to learn the University of South Carolina policies, procedures, and administrative systems.

Job Duties Job Duty Coordinate and maintain the associate vice president's calendar, serving as the primary point of contact for scheduling meetings.

Plan and coordinate events, including logistics and execution.

Prioritize administrative activities, draft high-quality correspondence, and take meeting minutes.

Coordinate projects and operations on behalf of the AVP as needed.

Track issues and conduct follow-up to ensure the effectiveness of the office.

Provide a wide range of complex office operations, coordination, and support.

As needed, assist in gathering and analyzing data and information, prepare presentations, reports, needed for administrative reporting to enhance student retention, timely graduation, and employability.

Essential Function Yes Percentage of Time 30 Job Duty Support administrative services and operations for the Student Success Unit including by supporting the Admin & Operations Coordinator.

Reviews submitted documents for AVP signature related to purchasing, travel, food letters, HR documents etc.

for accuracy and completeness, then obtains signature and submits to Division.

Assists with programming logistics and event set up.

Remain flexible and adaptable.

Essential Function Yes Percentage of Time 15 Job Duty Provide support to the Associate Vice President for Student Success in fulfilling all responsibilities resulting from university committee involvement.

Support Student Success event planning, logistics and execution as needed.

Attention to detail and the ability to coordinate multiple activities and stakeholders to ensure the event runs smoothly and successfully.

Essential Function Yes Percentage of Time 15 Job Duty Partner and collaborate with key partners to ensure programs, services, and systems support excellence and a respectful work environment.

Provides professional interaction and communications with Senior University administrators, campus partners and the general public while facilitating access to, and support from, the Associate Vice President.

Perform other duties as assigned.
