The Office Assistant- Therapy Services performs a variety of routine and complex clerical and secretarial duties to support the functions of the outpatient therapy department.
Duties/Responsibilities:
Acts as support for staff associated with the Rehab Services Department, including Physical Therapy, Occupational Therapy, and Speech Therapy.
Performs receptionist duties for department staff.
Performs clerical duties for department staff.
Handles confidential information with discretion.
Pre-registers and registers all patients with scheduled evaluation appointments. Performs monthly account cycling registrations appropriately.
Schedules all patients for outpatient therapy, including new evaluations and follow-up visits.
Maintains patient's paper and/or electronic medical record with updated information, including any new therapy orders, returned signed plan of care, insurance information, and scans of clinical paperwork.
Distributes therapy plan of care to appropriate referring providers for signature and performs tracking of plans of care with follow-up to providers to obtain a signed copy as required.
Makes appointment reminder calls for new evaluations and follow-up appointments in accordance with the department scripting and time frames.
Assists in the maintenance of office supplies and equipment.
Obtains pre-authorizations and/or pre-certifications for therapy services as appropriate in an efficient and timely manner.
Coordinates mail distribution for the department.
Maintains required department statistics/audits and promptly reports these to appropriate staff.
Maintains usage of appropriate telephone skills with patients, families, or other persons.
Performs duties with the appropriate level of self-motivation, independent judgment, and willingness to work as a team requiring minimal supervision.
Education:
High school graduate or equivalent required.
Experience:
Two years secretarial/clerical experience required. Insurance pre-certification and management experience preferred.
