We are looking for a driven and curious Document Control Professional in Ohio, to support our Program Management Team.
As a key member of our Columbus Ohio Construction Management team, you will provide support and document control duties for our construction management and program management projects.
Also, you will provide general clerical support performing routine activities under general supervision and within defined procedures.
You will also have regular contact with clients, suppliers, or company employees outside the immediate work area to exchange information.
Here's what you will be doing: * Controlling the distribution, access, and format of program management records and documents in accordance with the established distribution lists, workflows, and plans.
Upon receipt of any document, the Document Control Specialist will review it for completeness, clarity, approvals, and release authorization.
The Document Control Specialist then enters the document into the document control system per established processes.
* Monitoring program correspondence to ensure that transmitted documents have been received and to ensure that documents requiring response are returned in a timely manner, per Task Order or PO requirements.
This will entail direct communication with all entities involved in the Program Management Team.
* Processing revisions to controlled documents in the same manner as the original documents and superseded documents, if retained, are identified as such.
A consistent naming convention has been established in the program document plan and will be maintained to ensure accuracy and expedient retrieval.
Any hard copies that exist shall be classified/tagged exactly as their electronic counterparts.
* Tracking and providing general maintenance of the daily traffic of documents and communication.
This includes general project correspondence, project reporting, implementation of the management plans, and maintaining the overall hard copy and electronic filing systems.
* Providing training and technical support to the program management team regarding the systems used to manage project information, including the overall functionality of the document control system.
* Monitoring supplies and ordering supplies for the for the site, coordinating maintenance activities for construction trailers and associated equipment.
* Additional tasks as assigned by the PM or supervisor.
* Bachelor's degree is highly desirable but not required.
* Minimum 5 years' experience with project / program document management systems.
* Working knowledge of SharePoint.
* Capable of extreme attention to detail.
* Experience working on water and wastewater programs.
* Experience with Construction Project Management Software Platforms.
* Proficiency with MS Office and Bluebeam This is a full-time position on site that will be required to report to designated field offices Monday through Friday with additional days and hours as required.
The position will require Intermittent sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, and lifting.
Lifting requirements up to 50 lbs.
Hand manipulation is required for simple grasping, pushing and pulling, and fine manipulation.
Right and/or left hands utilized.
Occasional need to reach and/or work above the shoulder, for supplies, as well as below the shoulder for same.
Must be alert to equipment in the field, there will be occasional travel, will work near construction job site equipment when in the field, occasional need to work near hazardous equipment and machinery, occasional need to walk on uneven ground, exposure to dust, gas or fumes, exposure to noise, extremes in temperature or humidity, and potential work at heights.
