We’re building the backbone of a fast-growing NYC real estate brokerage—and we’re searching for a Real Estate Executive Assistant who can turn big-picture vision into flawless execution. This role is for someone who thrives at the intersection of operations, finance, and team support, ensuring that leadership and agents stay focused on what they do best: production and growth.

What Success Looks Like

Within your first year, you’ll have:

A clean, organized accounting system with accurate monthly financial reporting.

A streamlined CRM and pipeline dashboard that agents actively use, with consistent rollups for leadership.

Transaction coordination processes that flow smoothly—adapted to NYC’s unique deal structure.

A marketing calendar that runs on schedule, with measurable results and accountability for contributors.

Onboarding and office operations that make new hires and agents feel supported from day one.

Vendor partnerships that are managed, leveraged, and create additional value.

A trusted partnership with the Principal—where you help shape ideas into action, protect priorities, and keep the business on track.

Compensation & Work Style

Base Salary: $100,000 (based on experience).

Performance Bonus: Quarterly or annual, tied to profitability and growth goals.

Operations Leadership: Oversee support staff in transaction coordination, marketing, and administration. Standardize processes, manage office logistics, schedule trainings, and keep the brokerage humming.

Financial Discipline: Implement and manage accounting software (QuickBooks, Xero, etc.), deliver budgets and forecasts, and present monthly P&Ls in a clear, actionable format.

Data Visibility: Build and maintain systems that keep the pipeline and performance transparent—weekly reviews, monthly dashboards, and scorecards included.

Marketing Oversight: Translate leadership vision into campaigns, calendars, and deliverables—holding marketing partners accountable for results.

Technology & Vendors: Manage the brokerage’s tech stack and vendor relationships, negotiating sponsorships and ensuring platforms are optimized.Qualifications:

Experienced in real estate operations—NYC brokerage knowledge is a strong plus.

Tech-savvy, able to connect systems, master new tools quickly, and help others adopt them.

Comfortable with finance—budgeting, P&Ls, variance analysis, and dashboards.

Marketing-aware—you don’t need to design, but you know how to translate strategy into execution.

A steady leader who sets priorities, coaches teams, and maintains focus in a fast-paced environment.

A proactive problem-solver with startup energy—comfortable iterating, adapting, and keeping momentum.
