The Ohio State University’s College of Dentistry seeks a Dentistry Program Coordinator to play a pivotal role in managing and overseeing all aspects of student education records, course scheduling, and curriculum coordination. This position requires a highly organized and autonomous professional who can implement policies and procedures, manage student and enrollment records, and coordinate with various departments. The Program Coordinator is responsible for ensuring the accuracy and integrity of student records, facilitating curricular changes, and supporting graduation and commencement activities. Additionally, this position serves as a liaison between the College of Dentistry, and other Health Science colleges and university offices, providing technical and strategic support to address scheduling and curricular discrepancies.

Responsibilities:

Curriculum and Exam Coordination

Coordinates and updates all new courses and academic programs approved by the Dentistry’s curriculum committee.

Maintains accuracy for the course catalog by removing dormant courses and updating prerequisites and course descriptions.

Independently creates and manages the course and final exam schedule for the college.

Coordinates rooms and times for exam accommodations.

Initiates curricular changes via the university's curricular approval system.

Manages student registration and degree audits, including monitoring elective fulfillment and the graduation process.

Serves as the main liaison to the Student Life Disability Services Office related to exam accommodation needs.

Serves as the main liaison between Dentistry and the Registrar’s office for all course scheduling and approvals.

Routes and tracks approval workflow of courses, degree programs, and course catalog.

Provides technical and strategic recommendations to address and resolve scheduling or curricular discrepancies.

Student Records, Enrollment and Licensure

Implements policies and procedures for student education record management.

Oversees student and enrollment records for the college in the Student Information System (SIS).

Analyzes activities, operations, workflows, and problems related to student records and enrollment.

Develops and implements enhancements to better serve Dentistry students and ensure regulatory requirements are upheld.

Submits licensure documentation to the Ohio Board or other state boards as needed.

Provides procedural guidance to students with course registration, graduation, and enrollment/degree completion verification letters.

Administrative and Liaison Duties

Provides administrative support to curriculum and Interprofessional education committee meetings.

Coordinates planning and execution of all curricular and interprofessional events with individual faculty and programs, including graduation and precommencement.

Oversees commencement activities for the college, including diploma proofing and assisting with commencement line-up.

Attends weekly staff meetings and serves as the backup person for all Academic Affairs needs.

Serves on college committees such as the DDS Curriculum Committee and the Academic Progress Committee.

Acts as a liaison to the University Registrar and Office of Commencement and Special Events.

Collaborates with other health science colleges for data sharing, common activities, and policies focused on students and curriculum.

Uses university platforms to generate and analyze enrollment, grade, or other student data as requested.

Work Schedule: Monday - Friday, 7:30am - 4:30pm, on-site

The targeted hiring pay range for this position is $51,500.00 - $67,250.00 and will be based on the candidate's experience and education.

This position requires successful completion of a background check and alcohol and drug screening.

Education and Experience Qualifications:

Required: Bachelor's degree in a related field and 4 years of experience in academic administration or registrar services. Strong organizational and communication skills. Proficiency in student information systems (SIS) and university platforms such as SQL Server Reporting Service (SSRS) or Operational Data Store (ODS). Ability to work autonomously and manage multiple responsibilities. Knowledge of university, state, and federal rules and regulations related to student registration and records. Experience in data analysis and reporting. Excellent problem-solving skills and attention to detail.

Preferred: Master's degree.
