Assistant / Transaction Coordinator
Permanent Part-Time 20–25 Hours Per Week (Typically 9 AM–2 PM)

We’re looking for a detail-oriented, proactive Assistant / Transaction Coordinator to support a top-producing real estate broker in Central Richmond. This is a permanent, part-time role—typically 20–25 hours per week, Monday through Friday, 9 AM to 2 PM—designed for someone who thrives in a fast-paced, client-focused environment. It’s also a rare opportunity to gain hands-on experience across every aspect of the real estate business, from listing preparation to client care, marketing, and market analysis.
In this position you’ll handle client account management, maintaining organized files and inputting information into our database and cloud-based transaction systems. You’ll create and manage contacts, listing agreements, property contracts, and disclosures, following each transaction from start to finish and ensuring everything stays on track. Working closely with our Inside Sales Agent, you’ll help manage searches, drips, and lead life cycles while serving as a friendly, informed point of contact for clients.
You’ll also coordinate all the moving parts of getting a property ready for market—including repairs, landscaping, staging, photography, signage, measurements, and lockboxes—and schedule showings through ShowingTime, manage listing go-live dates, open houses, and offer reviews. You’ll order or coordinate HOA documents, inspections, home warranties, and gather key details from lenders, attorneys, buyer/seller agents, and vendors.
On the administrative side, you’ll enter listings into MLS, prepare and proof contracts, addenda, disclosures, and closing documents, and coordinate the closing process—including client communications and gifts. You’ll support market research by assisting with CMAs, pricing analyses, and tracking market data, as well as researching neighborhood sales histories and demographics. From time to time you’ll draft or proof marketing copy and property descriptions.
We’re seeking someone who is highly organized, detail-driven, and comfortable managing multiple tasks in a dynamic environment. Familiarity with Virginia real estate transaction forms, disclosures, and legal concepts is preferred but not required—training will be provided. Excellent administrative skills, time management, proofreading ability, and a warm client-service orientation are essential. Proficiency with MLS, CRM systems, Google Workspace, and cloud-based transaction platforms is a plus, and prior experience in real estate, a Virginia real estate license, or customer service/administrative support is helpful but not mandatory.
