Job Title: Workplace Coordination Team Administrator Job Description Join our dynamic Workplace Coordination Team and play a crucial role in managing the Civil Engineering office in Vinings, GA.
Initially, you will focus on the Atlanta office, but over time, your responsibilities will expand to include up to five offices throughout the Southeast.
Your primary responsibility will be to ensure the smooth operation of the office by handling administrative tasks and providing comprehensive workplace facilities management services.
Responsibilities + Assist in running the Civil Engineering office and provide support for up to five offices in the Southeast.
+ Handle office administration tasks, including answering phones, greeting and assisting visitors, vendors, clients, consultants, and internal partners.
+ Provide high-quality customer service and technical support to all office users.
+ Maintain office operations by managing communications, supplies, and equipment.
+ Support the Workplace Operations Regional Manager in managing office facilities and services.
+ Work as part of a team to deliver agreed facilities management services, including reception duties.
+ Respond to customer queries via email, phone, and in-person to provide effective service.
+ Enhance office procedures and proactively explore opportunities to add value.
+ Resolve day-to-day operational issues and escalate when necessary.
+ Manage office overhead budgets and work with managers to review budgets as needed.
+ Maintain and troubleshoot AV equipment for meetings and events.
+ Coordinate with property management for building access and maintenance issues.
+ Use facilities management tools for helpdesk, document management, and booking systems.
+ Order office supplies and manage stock levels.
+ Provide virtual support to other offices within the region.
+ Coordinate catering and setup for internal and client meetings.
+ Maintain schedules and coordinate conference room bookings.
+ Manage file maintenance and archiving, both onsite and offsite.
+ Assist with office moves and vendor coordination.
Essential Skills + 2-4 years of experience in facilities management, administration, or customer service.
+ Proficiency in Microsoft Office Suite, especially Microsoft Teams.
+ Strong communication skills.
+ Ability to manage budgets and financial tasks.
+ Organizational and interpersonal skills.
+ Discretion and confidentiality in handling sensitive information.
Additional Skills & Qualifications + Associate degree or equivalent work experience preferred.
+ Experience in the AEC industry is advantageous.
+ Basic financial skills to work with budgets and invoices.
+ Ability to handle rapidly changing priorities with minimal supervision.
Work Environment The role requires 100% in-office work, Monday to Friday, with standard hours from 8 am to 5 pm.
The office follows an open workstation model without cubicles.
Initially, you will be responsible for the Atlanta office, with potential expansion to managing up to five offices in the Southeast.
Job Type & Location This is a Contract to Hire position based out of Atlanta, Georgia.
Pay and Benefits The pay range for this position is $23.00 - $25.00/hr.
