Hesperia Unified School District Essential Job Functions: Activates employee position attachment (e.g.
work calendar, salary schedule, banking, health and welfare, tax withholding, retirement and voluntary deduction information.) Analyzes and calculates financial information (e.g.
labor distribution, payroll related data, contracts, IRS/State guidelines) for the purpose of assuring accurate program and funds distribution.
Communicates with appropriate staff in processing departmental and special payroll information to ensure accuracy and compliance.
Informs personnel regarding various procedures and program requirements for the purpose of providing necessary information for making decisions, taking appropriate action and/or complying with established fiscal guidelines.
Maintains various payroll information (e.g.
pay rates and records, leave records, etc.) for the purpose of providing an up-to-date reference and audit trail for compliance.
Organizes distribution of payroll (e.g.
mail, pickup or delivery) for the purpose of ensuring payroll receipt in a timely manner in accordance with district guidelines.
Orients new employees and/or student workers for the purpose of providing information regarding payroll procedures.
Prepares various reports (e.g.
district payroll, financial analyses, reports, etc.) for the purpose of providing written support and/or conveying information.
Processes payroll information (e.g.
time sheets, withholding information including voluntary deductions; verification of earnings, employment, and/or retirement; disability claims tax returns, tax deposits, etc.) for the purpose of updating information and/or authorizing timely payment.
Reconciles account balances (e.g.
labor distribution, time sheet, leave, etc.) for the purpose of maintaining accurate account balances and distribution of funds.
Responds to inquiries from various internal and external parties (e.g.
staff, state tax and legal authorities, attorneys, district attorneys, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required.
Other Job Functions: Assists personnel for the purpose of providing requested information necessary for the completion of their job functions.
Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
Job Requirements - Qualifications: Knowledge, Skills and Abilities: Knowledge is required to perform basic math including calculation of fractions, percents and/or ratios; plus algebra and/or geometry; read a variety of manuals, write documents following prescribed formats and/or present information before groups; and solve practical problems.
Skills are required to perform multiple technical tasks with a frequent need to upgrade skills due to changing job conditions.
Specific skills required to satisfactorily perform the functions of the job include applying pertinent codes, policies, regulations and/or laws; communicate with persons of varied cultural and educational backgrounds; operate standard office equipment; perform standard clerical procedures, perform standard bookkeeping/accounting procedures; prepare and maintain accurate records; and utilize pertinent software applications; keyboard/computer literate.
Abilities are required to schedule a number of activities; routinely gather, collate and/or classify data; and coordinate a number of factors in the use of equipment.
Flexibility is required to work with others under a wide variety of circumstances; analyze data utilizing various processes some of which may be undefined; and use equipment for a variety of purposes under different conditions that requires an understanding of various methods of operation.
Ability is also required to work with a significant diversity of individuals and/or groups; work with data of different types and/or purposes; and utilize a wide variety of job related equipment.
In working with others, some problem solving is required to analyze issues, create plans of action and reach solutions; with data it is moderate to significant; and with equipment it is moderate to significant.
Specific abilities required to satisfactorily perform the functions of the job include being attentive to detail; meet deadlines and schedules; and work under time constraints, ability to type 30 wpm.
Responsibility: Responsibilities include: working under standardized instructions and/or routines; providing information and/or advising other persons; and operating within a defined budget and/or financial guidelines.
Utilization of resources from other work units is required to perform the job’s functions.

Experience Requirements: Job related experience with increasing levels of responsibility is required.
Specific knowledge required to satisfactorily perform the functions of this job includes three (3) years of increasingly responsible clerical experience, including two (2) years of increasingly responsible experience in payroll record management involving manual and computer payroll systems.
Licensing, Certification, Testing Requirements: Fingerprint/criminal justice clearance; Tuberculosis clearance.
