The Executive Assistant to the Chief People Officer (CPO) is at the heart of our People Team, providing comprehensive executive-level support and serving as the primary logistical partner for the broader People organization. This dynamic role is essential for managing the CPO's day-to-day operations and ensuring the seamless execution of the People Team operations, initiatives, and events, all to help create an amazing experience for our greatest asset – AppFolians.

Your impact

Executive Support (CPO)

Calendar Management: Proactively manage the CPO's extensive and dynamic calendar, coordinating internal and external meetings, resolving conflicts, and acting as the primary gatekeeper to ensure efficient time management. Proactively anticipate scheduling needs and ensure efficient time management for the CFO.

Travel & Expenses: Plan and coordinate all travel logistics for the CPO, and prepare and submit expense reports, process invoices, and manage vendor correspondence.

Correspondence: Draft basic correspondence, proofread documents, and prepare materials and simple slide decks for the CPO's meetings and presentations. Ensure clear communication of schedules and expectations to the necessary parties.

Process Improvement: Proactively identify areas to automate, streamline, and improve processes and experiences.

People Team Coordination & Events

Event Coordination: Manage the end-to-end logistics for broader People Team programs, events, and meetings (e.g., offsites, all-hands meetings, team social events, and broader team meetings) in partnership with People Operations team.

Logistical Execution: Manage all F&B ordering, calendar invitations, and location scheduling with flawless execution, anticipating needs for food, beverages, and technical setup before being asked. Ensure seamless coordination for team meetings and events in partnership with the People Operations team.

Employee Engagement: Own and coordinates broader People team activities for key meetings and celebrations, including anniversaries, birthdays, and general gifting. Manage the Sendoso system to facilitate these efforts.

Space Planning: Partner with the Facilities team to manage all space planning and related communications for the People organization.

Mail Operations: Manage all physical mail operations for the People Team, along with general filing and alignment with key stakeholders.

Ad Hoc: Support with other administrative duties as needed.

Qualifications

Bachelor’s degree in Business Administration or a related field preferred.

4+ years of experience in executive support or a similar role.

Strong organizational, multitasking, and time management skills.

Excellent communication and interpersonal skills, both written and verbal.

Ability to work independently and collaboratively as part of a team.

Proven ability to maintain confidentiality and exercise discretion.

Proficiency in key applications such as Google Suite (Docs, Sheets, Slides) and knowledge of Expense and Travel solutions (Navan, Concur) is a pulse.

Strong understanding of business processes and the ability to identify and implement process improvements.

Must have

Prior experience supporting at the leadership or executive level.

Willingness to be located in the Santa Barbara office 4-5 days a week.

Demonstrated ability to effectively prioritize tasks and manage competing demands in a fast-paced environment.

Meticulous attention to detail and exceptional problem-solving abilities.

Compensation & Benefits

The compensation that we reasonably expect to pay for this role is: $94,400 - $118,000 [base pay]. The actual compensation for this role will be determined by a variety of factors, including but not limited to the candidate’s skills, education, experience, and internal equity.

Please note that compensation is just one aspect of a comprehensive Total Rewards package. The compensation range listed here does not include additional benefits or any discretionary bonuses you may be eligible for based on your role and/or employment type.
