Employment Opportunity
Under the direct supervision of the Guest Services Supervisor, Guest Services Staffare responsible for providing excellent customer service, handling program registrations and membership sales, performing clerical duties, supporting event setups and tear downs, and assisting with the operation of the Recreation and Wellness Center (The Well). This position also includes responsibilities for opening and closing The Well, providing tours to potential members, and answering inquiries regarding facility offerings. The Guest Services Associate plays a key role in ensuring a positive guest experience and ensuring the facility operates smoothly and safely.
Essential Functions of Work

Greets and assist guests with inquiries about memberships, programs, and services.
Addresses questions, resolve concerns, and provide professional customer service.
Works the front desk at both The Well and Hilliard Social Center (HSC), assisting guests, answering phones, and managing check-ins.
Processes registrations, memberships, and payments using RecTrac software.
Opens and closes the facility, ensuring security, cleanliness, and readiness.
Provides facility tours, explain membership benefits, and assist with registration.
Sets up, tears down, and assists with the execution of birthday parties, program rooms, gym and sports activities, events, and facility rentals.
Monitors gym and fitness areas, ensuring safety, proper equipment use, and rule compliance.
Conducts regular building walkthroughs to ensure safety, cleanliness, and rule compliance.
Handles financial transactions accurately and maintain records with integrity.
Performs administrative tasks, including answering calls, emails, and maintaining reports.
Ensures adherence to safety and operational procedures and assist with incident reporting.
Promotes facility programs, events, and services to enhance guest experience.
Develops, implements, promotes, and assists with execution of programs, classes, leagues, activities, and special events for the department at facilities and adjacent grounds, including park/pool facilities.
Works collaboratively on independent projects such as computer programming and formatting of data.
Maintains applicable records and reports.
Follows protocols, policies and procedures, and make recommendations for revisions as necessary.
Performs other related duties as assigned by the Recreation Coordinators, Recreation Supervisors, Recreation Program Managers, Deputy Director of Recreation and Parks, or the Director of Recreation and Parks or their designee.
Knowledge, Skills, and Abilities:
Extensive knowledge of the Recreation and Wellness Center's programs, policies, and services.
Ability to effectively use RecTrac software for program registration, event bookings, and transactions.
Exceptional customer service and interpersonal skills.
Knowledge and ability to conduct recreational activities.
Good verbal and written communication skills.
Ability to lead a variety of recreation programs and to gain the support of staff and general public for these programs.
Ability to effectively use a computer and utilize word processing, spreadsheet, e-mail and to learn and utilize Rec Trac software.
Ability to supervise, direct, instruct, and solicit cooperation from others in the performance of their daily work assignments and duties.
Ability to compile and prepare reports and maintain accurate records.
Ability to exercise independent judgement, discretion and to provide leadership.
Ability to answer inquiries, resolve complaints, and communicate with the public in an effective, tactful, courteous, and professional manner.
Compliance with training directives established by supervisory and management personnel.
Adherence to all applicable federal, state and local safety laws, rules and regulations and City policies/procedures.

Typical Qualifications
Minimum Qualifications:
American Red Cross CPR/AED for the Professional Rescuer and First Aid Certification or ability to obtain upon hire.
One year of experience in customer service or administrative support preferred.
Experience with RecTrac software or similar membership/registration systems preferred.
A background free of prior felony convictions.
Regular and punctual attendance is essential for this position.
Must be able to work a flexible schedule, including evenings, weekends, and some holidays.
Must be able to safely lift, move, and arrange furniture and sports equipment as needed for event setups and tear-downs.
WELL MEMBERSHIP
Part-time employees are eligible to enroll in the employee Well membership program. This program allows employees to receive an individual Well membership if they meet the program's quarterly goal.
RETIREMENT PENSION
The City contributes 14% monthly toward retirement benefits offered through the Ohio Retirement System (OPERS) and the employee contributes 10%.
PERSONAL LEAVE
Part-time employees who have worked for a minimum of 1,000 hours during the prior calendar year for the City, shall be eligible for forty (40) hours of paid personal leave each year. Part-time employees who have worked less than 1,000 hours but more than 500 hours in the previous calendar year for the City shall be eligible for twenty-four (24) hours of paid personal leave each year.
