As a facilities intern, you will provide support to the Facilities Management team in ensuring the smooth and efficient operation of the office environment. This internship offers a valuable opportunity to gain hands-on experience in various aspects of facilities management, from maintenance and vendor coordination to space planning and employee support.
The main tasks are the following:
Administrative Support:
Manage shared facilities inbox and incoming requests, registering visitors & suppliers, keeping the facility calendar up to date.
Assist, when necessary, with incoming facilities requests via ServiceNow (internal ticketing system), ensuring prompt response to employee inquiries.
Prepare reports and presentations as needed: ServiceNow, dashboards, plan visitors visit, waste and energy reporting for ESG.
Support reception in managing incoming and outcoming mail and packages.
Hospitality & Technical Support:
Daily duty-round to ensure the building and office spaces are up to desired standards.
Support with coordination with external vendors.
Point of contact for assisting external visitors on site
Vendor Management:
Assist with vendor creation, modification and extension
Communicate with vendors to schedule services and resolve issues.
Ensure vendor compliance with company policies and procedures.
Space Planning & Organization:
Assist with office space planning and layout.
Occupancy monitoring control
Assist with internal office moves and relocations.
Employee support:
Assist with setting up meeting rooms and events.
Ensure that common areas are well-maintained and stocked with necessary supplies.
HOW WILL YOU EXPERIENCE SUCCESS WITH US
Enrolled in a Bachelor's/master's program (HBO or University) in Facilities Management, Hotel or Hospitality management, or related field.
Excellent communication and stakeholder management abilities.
Strong organizational, time management, and interpersonal skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Canva.
Ability to work independently and collaboratively.
Hands-on mentality and attitude
Detail-oriented, proactive, service-oriented, and eager to learn.
Fluent in English; additional languages a plus.
