Position Summary:

The Katz School is seeking a highly organized and adaptable Program Manager to support the day-to-day operations of its STEM graduate programs. This role is ideal for a mission-driven professional who thrives in a fast-paced environment, excels at managing academic operations, and is committed to supporting student success.

The Program Manager will report to the Executive Director of Academic Operations and work closely with program staff, directors, faculty, and multiple central university offices. Serving as the primary liaison among students, faculty, and administrative departments, the Program Manager will ensure the smooth delivery of academic programs. Key responsibilities include coordinating student services, tracking academic progress, supporting faculty, and managing program data. Position Responsibilities:

Responsibilities include, but are not limited to:

Student Services & Academic Support

Serve as the primary point of contact for incoming and continuing STEM graduate students

Coordinate advisement and tracking, course registration notification, and follow-up

Manage probation and remediation processes

Track degree progress and follow up with students and program directors

Coordinate annual course offering schedules and faculty assignments

Assist with evaluating and updating program handbooks, catalogs, and other academic documents

Manage student academic spaces

Faculty & Program Director Support

Provide comprehensive support to faculty, including managing classroom and teaching supply/book requests

Schedule guest speakers and coordinate teaching resources

Provide program directors with general administrative support, including vendor management, purchasing requests, and student assistant hiring

Data Management & Reporting

Collect, manage, and analyze all aspects of programmatic academic data, including attendance, academic performance, end-of-semester evaluations, annual student experience surveys, exit surveys and interviews, and programmatic assessment

Create and maintain confidential and sensitive data such as student records, faculty files, health forms, and teaching evaluations

Prepare and disseminate relevant reports each semester

Liaise with the registrar for semester classroom assignments, data needs, and operational tasks

Event Coordination

Support planning and execution of program events, school orientation, and graduation

Other duties and tasks as assigned, with some evening and weekend hours

Experience & Educational Background:

Bachelor's degree

Master's degree a plus

3-5 years of related experience in academic administration or programs, registrar, or related academic function

Experience organizing events

Experience or ability to learn details of working with international students, student assistants, and teaching assistants

Skills & Competencies:

Required

Outstanding communication skills-written, verbal, and visual-with the ability to engage diverse audiences

Proven project management skills; ability to lead multi-phase initiatives from planning through execution

Collaborative mindset and ability to build trust across departments and hierarchical levels

High attention to detail and ability to synthesize complex information for executive use

Preferred

Experience with systems development, process improvement, or operational scaling in academic or mission-based environments

Familiarity with education technology, data tools, or emerging AI platforms

Comfort with ambiguity and a proactive approach to problem-solving

Salary Range:

$65,000 - $75,000
