Job Summary:

The Case Management Administrative Supervisor is responsible for the direct administrative supervision of location case management departments; supporting the day-to-day operations, tracking performance of assigned staff, and supporting continuous improvements related to service delivery. The Case Management Administrative Supervisor is a resource to the team, providing ongoing leadership, mentorship, and training to assigned case management staff. The Case Management Administrative Supervisor works closely with the Director of Case Management to resolve complex issues, improve day to day operations within the department, and works with assigned staff to ensure compliance of all program protocols. This position must be filled by a dedicated individual who is recovery and Strengths-based oriented, a team player, and committed to working alongside case managers assisting individuals as they transition into SUD/MH treatment, and progress through to completion of the program. The Case Management Administrative Supervisor must possess excellent leadership skills, mentorship abilities, and proficient working knowledge of case management procedures, resources, regulations, and efficiency of day to day responsibilities.

Job Duties/Responsibilities:

Upholds the Mission Statement of Basecamp Recovery Center and vision of the Case Management department as established by the Director of CM and other leadership team members at Basecamp Recovery Center

Works with Case Management leadership to implement strategic objectives and goals within the department, maintaining alignment with the Mission and Vision statements of Basecamp Recovery Center.

Maintains professional relationships with all patients and staff, complying with all agency policies and procedures, including patient and employee rights, safety rules and regulations, the agency and professional code of ethics and all applicable state and local laws, rules, and regulations.

Provides quality substance use/abuse and mental health intervention services to Basecamp Recovery Center patients, ensuring efficient and effective delivery of Case management services via Strengths-Based Model

Maintains productivity of 20-25% per week with assigned caseload, providing case management services to lower level of care patients when needed (estimated billable productivity of about 7-10 hours/week)

Serves as a liaison between Basecamp Recovery Center patients, area agencies, and other community resources to ensure availability of the most appropriate programming and services possible for Basecamp Recovery Center patients. Makes referrals to other services as necessary for mental health counseling, legal assistance, and medical needs, among other aspects of patient’s care and functioning.

Maintains a structured case management system, as established by the DCM, collaborating with the Director of CM, and clinical teams, that includes assessments of all patients’ needs, functioning, goal setting, design and implementation of a service plan, monitoring of service delivery, and gradually eliminating patient’s dependence on case management.

Prepares all required documentation in a timely manner, to include forwarding of applicable correspondence and progress notes, collateral contacts, in accordance with agency guidelines. Maintains well organized, confidential case records, and progress notes daily within own caseload, as well as documentation of 1-1’s with assigned staff.

Ensures coverage of caseloads for case managers during emergencies, illness, and vacations and assists others with group case management upon request from the Director of Case Management.

Participates in individual and group supervision weekly, and attends all required meetings, including Case Management meetings, Treatment team meetings, and other meetings as requested by the Director of Case Management.

Facilitates CM Huddles daily with assigned staff, according to established structure

Remains knowledgeable regarding new developments and treatment strategies in the field through attendance at meetings, seminars, and industry research, and other ongoing trainings

Participates in Basecamp Recovery Center’s Quality Improvement activities, conducts peer reviews according to agency policy, and maintains records in compliance with all Quality Assurance, OhioMHAS, and agency guidelines, and performs other duties as assigned.

Reports issues within Case Management to the Director of Case Management, and works with the DCM to resolve complex problems, ensuring compliance with all policies, guidelines, and procedures for the Case Management team. Meets at least weekly with DCM to receive ongoing individual supervision and guidance

Anticipate program needs and takes initiative to solve problems within the scope of the Administrative Supervisor role.

Meets weekly for at least one hour with all Case Management staff, to provide administrative supervision, guidance, ongoing training, and professional development opportunities to the individual team members.

Manages contingency management efforts with the Director of Case Management, overseeing the distribution of incentives to patients through the case management team.

Completes all new hire and ongoing training with assigned case management staff members

Other duties as assigned and applicable to the department’s functioning

Qualifications

Required Skills/Abilities :

Proficiency in Microsoft Office, Google Suite

Ability to relate to and communicate with a broad socio-economic cross-section of individuals.

Leadership skills including excellent written and verbal communication, mentorship capabilities, teaching and coaching of skills, and administrative supervision of subordinates.

Must be able to work independently with minimal supervision

Education and Experience:

Associate or Bachelor’s degree in counseling, Social Work, or related field preferred

Experienced CDCA with ability to gain licensure in one year required/ LCDC-II/III licensure strongly preferred

Broad knowledge of the social service system, and Prior experience in Strengths-Based CM preferred

3-5 years work with homeless or underserved populations preferred

Other Job Requirements:

Hold and maintain an Ohio driver’s license with good driving record

Required to travel on company time when assigned, mileage reimbursed

Furnish a reliable, personnel means of transportation to accomplish work objectives
