Job Summary:
Handles diversified clerical and office functions to assist the unit nurses, the Unit Manager(s), or the Director of Nursing and Assistant Director of Nursing.
Duties/Responsibilities:
Responsible for all secretarial duties related to nursing for the assigned unit.
Performs reception/ information center duties and assist all visitors as required.
Answers phone promptly, “Thank-you for calling Saluda Nursing & Rehab Center’s Unit, this is how may I help you?”
Answers call lights on the unit and directs the call to appropriate staff.
Maintains a professional, neat/clean appearance and greet all residents/visitors with a smile.
Responsible in setting up all appointments, transfers, and paperwork associated with appointments and transfers.
Accountable for documenting appointments secured or cancelled and notifying the Responsible Party.
Responsible for ensuring the POCs are signed properly, and the dashboard is completed by the CNAs while reporting any blanks (specifying the date, time and CNA) to the Unit Manager monthly. Additionally responsible for completing monthly POCs at the beginning of the month including any updates and placing in the POC.
Participates in all nursing department in-services and staff meetings.
Assists with all admissions and discharges as requested and have all admission/discharge paperwork ready for the nurses.
Ensures that all POCs, resident assignment sheets, and charts are covered and always protected and abides by HIPAA guidelines. Responsible for filing the assignment sheets daily.
Maintains the list of Med A patients to ensure resident payor status chart labels are correct.
Responsible for maintaining the nursing desk on the unit and ensuring that it is neat, clean and organized at all times.
Responsible for checking the secure care guards weekly for functionality and documenting. In addition, the expiration date must be checked and, if expired, must be replaced immediately.
Maintains and updates the Wander Book, to include photos. Removes all forms of discharged residents while submitting discharged information to Medical Records to file.
Ensures that daily assignment sheets are filed accurately both daily and monthly.
Completes unit assignment sheets the day before of posting to include the weekend assignment sheets. The upcoming Monday assignments are to be completed the Friday before.
Completes census/staffing sheet daily and post. Responsible for making changes as they occur with staffing and resident census. On Fridays, completes for Saturday and Sunday and Monday leave for the nurses.
Assists with transporting residents to the beauty shop, podiatry, etc.
Performs scanning and filing for the unit as needed.
Adhere to all HIPAA guidelines. Must be able to deal with confidential information of residents such as diagnosis and medical histories.
Handles other such duties as requested.
Education and Experience:
High school diploma with secretarial training or equivalent related experience.
Interpersonal, organizational, accuracy, and customer service skills required.
Two years clerical experience preferred.
Certified Nursing Assistant or Medical Assistant preferred.
Physical Requirements:
Must be able to move intermittently throughout the workday.
Prolonged periods sitting at a desk and working on a computer.
Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times unpleasant people within the facility.
Must be able to push, pull, move, and/or lift a minimum of 25 pounds periodically throughout the course of a workday.
