Position Summary: Position Summary: Competent and skilled in shipping processes. Strong communication, organizational and interpersonal skills. High attention to detail, effectively delegate, makes decisions independently, assists with training, and takes initiative to drive departmental improvements. Recommends staffing decisions and completes performance evaluations. Owns QMS documents. Full knowledge of ISO standard and QMS. Proficient in Macola, Word, Excel, Outlook, other third party software, and has a professional email and telephone etiquette. Reports to Vice President Finance and Human Resources.

Principal Duties and Responsibilities:

Competent and skilled in shipping processes.

Strong communication, organizational and interpersonal skills.

Ability to make decisions independently.

Effectively delegate.

Assist in training new employees.

Foster a positive work environment that encourages teamwork, communication, and continuous improvement.

Takes initiative to drive departmental improvements.

Communicates well with shipping vendors, team members, other departmental supervisors, and manager/VP.

Assists in recruitment efforts, and recommends staffing decisions.

Successfully completes all job responsibilities of a shipping representative.

Monitor, and schedule time off, and approve payroll time cards.

Complete employee reviews.

Create and maintain Shipping work instructions in Reliance (QMS) software.

Proficient in Macola, Word, Excel, Outlook and professional email and telephone etiquette.

Interact with couriers and vendors to maintain relationships, and negotiate best pricing.

Complete tracking of shipping charges and provide report to Manager.

Dispute weight charges and other errors with couriers.

Familiar with export documents and shipping forms.

Review and sign shipping documents.

Produce quarterly reports for ISO.

Complete monthly insurance report.

Cross-trained in some Customer Service, Accounts Receivable, and Inventory Control responsibilities.

Order shipping supplies.

Ability to troubleshoot software issues with third party software vendors.

Ability to problem solve and suggest new processing procedures to ensure departments work is accurate and efficient.

Manage equipment maintenance schedules.

Act as a resource to shipping representatives, trouble shoot and research unusual or difficult situations, or refer the appropriate party.

Participate in computer software development and troubleshoot as needed.

Other duties as assigned.

Education and Experience Requirements: Bachelors degree or equivalent work experience; supervisory experience in a shipping department; knowledge of industry-specific regulations and standards.

Skills, Knowledge and Abilities Requirements: Supervisory skills, ability to motivate employees and build a cohesive team, computer knowledge and typing skills. Attention to detail, ability to prioritize and handle multi-tasking. Good interpersonal communication skills, familiarity with shipping and receiving processes and procedures. Ability to analyze reports. Excellent problem-solving, analytical skills, and decision-making skills. Macola software experience is a plus. Malvern or other shipping software knowledge is a plus.

Physical Effort and Dexterity Requirements:

Mobility Factors: Lifting - 40 lbs., Sitting - 60%, Standing - 25%, Walking - 15%

Visual Acuity, Hearing, and Speaking: Normal vision (ability to read fine print and distinguish colors), hearing, and clear speech

Environmental Conditions: Normal fluctuations in heat and air conditioning.
