As a Document Controller, you will support the project team by managing the flow of information and ensuring that all documentation is accurate, compliant, and accessible. You will implement and maintain document control systems, monitor contractual communications, and ensure alignment with project standards and ISO 19650 requirements. You will also contribute to training, quality assurance, and continuous improvement of information management practices across the project.
You'll Be Responsible For:
Defining and implement information management (IM) strategies, standards (including ISO 19650), and processes aligned with client procedures.
Establishing and manage the project’s document control system using platforms such as SharePoint.
Training project team members on IM practices and promote continuous improvement.
Ensuring quality control and assurance of all submitted and stored documents and artefacts.
Maintaining up-to-date trackers for documents and communications, reporting on pending items and deadlines.
Supporting the drafting and formatting of project communications to ensure clarity and consistency.
Coordinating with responsible parties to ensure timely responses to contractual communications and transmittals.
Ensuring all documentation is version-controlled, properly archived, and accessible to relevant stakeholders.
Taking on additional project management responsibilities as required.
You’ll Need To Have:
Strong understanding of information management (IM) principles and their application in large-scale construction and infrastructure projects.
Proven experience implementing and managing common data environments (CDEs) in line with ISO 19650 standards.
Skilled in the configuration and administration of SharePoint, including metadata structures, permissions, and workflows.
Ability to develop and deliver training sessions on IM systems and processes to project teams.
Experience in document assurance and quality control, ensuring compliance with project and client standards.
Familiarity with contractual communication protocols, transmittal processes, and audit readiness.
Awareness of cybersecurity, data protection, and digital governance best practices in document handling.
Good attention to detail, and a structured approach to work
Excellent communication skills, written and verbal, in Spanish, English is a bonus.

You'll Also Have:
Demonstrated ability to manage structured information workflows in complex, multi-stakeholder environments.
Experience supporting project teams through the full document lifecycle - from setup and configuration to close-out and archiving.
Proven track record of maintaining high standards of data integrity, traceability, and compliance in document control systems.
Exposure to digital delivery practices and integration of document control with other systems such as scheduling, or cost systems.
Experience contributing to audits, quality reviews, and compliance checks related to document management.
Ability to adapt document control practices to evolving project needs, technologies, and client requirements.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational skills and attention to detail.
Participation in relevant courses or training in document control, records management, or digital delivery is highly valued.
Professional certification in document control or information management is a plus.
