Job Description

The Front Desk Attendant welcomes members into the club. This individual serves as the critical first impression as people enter the club and is invaluable in problem solving, assisting where needed, and helping to manage the flow of communication in the club.

Responsibilities

Greet members and guests as they enter and leave the club.

Monitor incoming calls and direct them to the appropriate person

Assist in managing reservations for restaurants, rooms, and events

Coordinate incoming mail, packages, and shipments

Assist members & guest with parking related questions. Enter permanent and temporary vehicles into Offstreet. Bill members for guest parking accordingly.

Monitor athletic activity. Make sure members are scanning in and guest/ reciprocal members are signing in and paying the athletic guest fees.

Report any accidents or injuries to directors immediately via email.

Communicate with other front desk employees to ensure all urgent matters are followed up on.

Monitor valet staff to make sure they are all present and on time. Communicate with ACC management and valet supervisors when appropriate.

Keep an accurate drawer of $300. Coordinate making change with the accounting office.

Keep front desk and lobby area as tidy and clean as possible.

Check the Banquet Module and ACC emails to remain knowledgeable with events and programs.

Monitor and assist with creating dining reservations on Seven Rooms. Make sure high-volume days are communicated to F&B management.

Monitor valet staff to make sure they are all present and on time. Communicate with ACC management and valet supervisors when appropriate.

Facilitate reciprocal club program for both ACC members visiting reciprocal clubs and for reciprocal club members visiting the ACC; create Letters of Introduction for ACC members for them to have access to reciprocal clubs.

Use of Northstar software system to:

Accurately record cash, credit card and member charge sales through the RPOS terminal.

Assist members with Accounts Receivable inquires such as last statement balance due or food and beverage minimum remaining.

Remain knowledgeable on Emergency Action plans and facility troubleshooting procedures. Review emergency PowerPoint.

Organize inventory of office supplies/ materials and notify DMS when running low.

Sort incoming mail. Coordinate shipping of packages with Director of Member Services via FedEx, UPS or USPS.

Monitor front entrance to ensure member safety, accurate member usage and that no alcoholic beverages are entering or exiting the facility.

Assist with other duties as assigned by the Director of Member Services.

Qualifications

Prior customer service experience a plus.

Personable and friendly demeanor. Professional and courteous, able to communicate with others through various methods.

Ability to multi-task, make solid business decisions with minimal supervision and work well under pressure

FLSA Status: Non-exempt

Schedule: 5 or 6 am start depending on the day. Monday to Friday, 35 hours per week
