We’re looking for a detail-oriented Construction Administrative Assistant to join our team and support projects that shape schools, transit hubs, and community spaces across New York and New Jersey. As an Administrative Assistant, you’ll be the backbone of our operations — helping keep projects organized, documentation accurate, and communication flowing between the office, field teams, and clients.

What You’ll Do
Provide day-to-day administrative support for project managers and senior staff
Manage project documentation — contracts, RFIs, submittals, and change orders
Assist with compliance paperwork
Track schedules, budgets, and deliverables to ensure projects stay on target
Coordinate with vendors, subcontractors, and city/state agencies as needed
Maintain organized filing systems (digital & hard copy)
Handle general office tasks including phones, scheduling, and correspondence
What We’re Looking For
5+ years of construction administrative support experience
3+ years of experience working with New York / New Jersey public projects, particularly with the NYC School Construction Authority (SCA).
Proficiency with QuickBooks
Proficiency with Microsoft Office Suite (Word, Excel, Outlook); knowledge of Procore or similar construction software a plus
Strong organizational and time-management skills
Excellent written and verbal communication skills
Ability to juggle multiple tasks and meet deadlines in a fast-paced environment
A proactive, problem-solving mindset and a team-player attitude
