Position Type: Food Service Date Posted: 9/16/2025 Location: Penn-Harris-Madison Schools Additional Information: Show/Hide Position Title: Purchasing Coordinator (Group 1A) Reports to: Food Service Director Evaluation: after 90-days, thereafter bi-annually Work Schedule: 194 work days plus K-8 summer school days / 8 paid holidays 8 hours per day with hour unpaid break.

Summary: Responsible for the procurement of food and supplies from distributors according to bid.

Administrates Fresh Fruit & Vegetable Program and After School Snack Program Pay Range is $23.31 to $27.47 per hour.

Essential Duties and Responsibilities: 1.

Eff ectively order food and supplies to insure product is available based on "Just in Time" procurement strategy.

2.

Communicate eff ectively with all distributors to ensure the correct products arrive in a timely fashion.

3.

Work with the Director to address all product outages immediately fi nding the best solution to meet program requirements.

4.

Take USDA commodities into account when placing orders.

5.

Follow policies and procedures for quality standards and quantity control of the Central Warehouse.

6.

Meet program compliance requirements for procurement of all food, supplies, and small equipment 7.

Adhere to a strict code of conduct for procurement using federal, state, and local money.

8.

Work with the Director on any off bid purchases to ensure customer preferences, district needs, policies, and nutrition objectives are met.

9.

Complete distribution and receipts on a daily basis for all vendors.

10.

Communicate eff ectively with site leaders in a timely and professional fashion about any items dealing with procurement.

11.

Keep required records of all off bid and non-American purchases.

12.

Work with the Storeroom Lead to conduct quarterly and as needed Central Warehouse physical inventory.

13.

Ensure perpetual inventory at Central Warehouse is up to date at all times.

14.

Keep required records for any destroyed or outdated products.

15.

Work with the Director to ensure all menu items, ingredients, recipes and stock items are updated with each bid prior to the start of the new bid period.

16.

Check all invoices to ensure that pricing is correct.

17.

Meet yearly USDA Manager Level training requirements for Professional Development Standards.

18.

If needed, work at any location to fill a vacancy and assist in daily operation.

19.

Accept additional duties assigned by the Food Service Director or Assistant Food Service Director, which are consistent with the function of the position.

Qualification Requirements: 1.

Minimum 3 years of ordering experience including placing orders on websites.

2.

Must have strong computer skills, including creation and manipulation of Google Sheets.

3.

Must have strong math skills including culinary measurements and recipe conversion.

4.

Must have strong organizational skills and have ability to work with multiple screens, websites and order sheets at the same time.

5.

Must have or be able to obtain sanitation certifi cation 6.

Must be able to communicate eff ectively, written and oral.

7.

Willingness to improve and/or develop job-related skills.

8.

Must be able to analyze information to make informed decisions.

9.

Excellent work habits, attendance record, successfully complete, and pass all criminal history and child abuse clearances.

10.

Shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
