GENERAL STATEMENT OF DUTIES: This position is responsible for greeting visitors and patients; determining the reason for the visit; securing patient information and signatures on required documents; and establishing methods of payment for services. This person also asks, receives, and accounts for payments, handles incoming calls, and performs other office duties as directed.

SUPERVISION RECEIVED: Works under the general supervision of the Director of the Health Department, Nursing Supervisor, Office Manager, and WIC Supervisor.

SUPERVISION EXERCISED: Supervision is not normally a responsibility of positions in this classification.

Essential Functions

ESSENTIAL FUNCTIONS:

Greet visitors and clients in a courteous, professional, and informed manner.

Schedule, register, check in/out clients, organize records, and update client record information using an Electronic Health Records Program.

Assess services needed to establish program specific documentation.

Ensure WIC participants understand their rights and responsibilities prior to signing the Participant Signature form and offers the opportunity to register to vote to adult participants at each certification, recertification, and when an address changes occurs.

Responsible for appointment reminders at least 24 hours before scheduled appointment.

Request, schedule and complete documentation of WIC participants transferring from other state WIC offices.

Determine the client's method of payment and secures insurance information.

Request, receive, and account for payments and donations.

Support programs within the scope of the role, including communication, mailings, phone calls, outreach, scheduling, providing health education, coordinating meetings, and documentation.

Support the Vital Records program, including processing birth and death certificates, appointments, printing, mailing, and registering documentation.

Support Accounting Specialist to ensure accurate billing, clinic forms, scanning, inventory, and quality assurance.

Responsible for mailing and postage of outgoing mail daily.

Comply with HIPAA and other regulations and requirements. Responsible for confidentiality and security of all records.

Complete daily checklist of duties and coordinate tasks with co-workers and supervisor to ensure all work is done on time.

Assist in inventory and ordering of supplies and materials as needed.

Maintain a clean and safe environment per cleaning guidelines, including cleaning exam rooms, bathrooms, reception, office space, and assist with building maintenance.

Follow all MCHD/WIC policies and procedures.

Employees must arrive and be ready to work on time with an average of 80% punctuality each week and requires regular physical attendance.

Attend staff meetings and reads minutes and follow up with supervisor if meetings are missed.

Read emails, chats, and notes and listen to voicemails to maintain effective communication.

Mandatory participation in MCHD response to public health emergencies and outbreaks and preparedness drills and trainings, which may involve after hours.

Qualifications

QUALIFICATIONS: High school graduate or equivalency with two years clerical experience or a satisfactory combination of experience and training that would demonstrate possession of the requirements of the position.

PREFERRED KNOWLEDGE AND SKILLS:

Prior customer service and reception experience, preferably in a healthcare setting.

Bilingual in English and Spanish.

Knowledge, Skills & Abilities

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of computer software relative to job assignment.

Knowledge of equipment used to perform essential duties including, but not limited to computer, fax, copier, and multi-line telephone.

Knowledge of collecting and analyzing data.

Knowledge of proper English grammar, usage, and spelling to use effectively in both oral and written communication.

Customer service skills – in person and via telephone (discretion, patience, etiquette, professionalism).

Ability to build community relationships.

Ability to work both independently and as a team member.
