The Cleveland Orchestra is seeking a Development Operations Coordinator, who will be a key member of the Philanthropy & Advancement department. Key responsibilities include daily gift processing and acknowledgements, maintaining donor account information, pledge reminder processing, donor services support, staff training, and providing additional support as needed.

Position responsibilities include the following:

GIFT PROCESSING

Process daily all donations to TCO, following protocols and ensuring accurate recording of gifts

Prepare daily deposits and pledge reports for the Finance department

Prepare and send donor correspondence including tax-sensitive gift acknowledgement letters, tribute notifications, tax summaries,

pledge reminders and other communications using Excel and Microsoft Word for mail merges

Maintain Tessitura setup and infrastructure that supports gift entry

Serve as the point of contact in the Philanthropy & Advancement department for gifts and acknowledgments, providing training and advising colleagues

Work with P&A colleagues to ensure accurate electronic filing of paperwork

Reconcile online and telefunding gift entries and deposits for Finance on a weekly basis

Maintain ongoing credit card billing for pledges, and track and pursue fulfillment of declined transactions

Coordinate and implement write-off requests for the Philanthropy & Advancement department

Support the annual Employee Campaign in coordination with the Individual Giving Coordinator, particularly with recording payroll gifts in the development database

Lead the Operations team in scheduling and delegating gift entry tasks and support during high-volume periods for gift processing, specifically during Calendar-Year and Fiscal-Year ends

OPERATIONS ADMINISTRATION & TRAINING

Participate in routine database clean up and maintenance, as well as special projects, as a part of the Operations Team, supporting the integrity of philanthropic data housed in Tessitura by following established protocols and procedures for data entry and storage

Serve on the cross-departmental Tessitura Team, including team meetings and participating and leading in working groups to streamline and enhance Tessitura usage at The Cleveland Orchestra, as well as support Tessitura upgrades through testing and training

Provide Tessitura training for new staff members and answer ongoing questions about the system, in coordination with the Data Operations team

Provide gift entry training for new staff members

Assist the Research Manager with projects related to prospect research and management

Provide backup support to the Data Operations team on reporting and information requests

Support analysis of direct response tracking efforts

Work with the Database Administrator to implement enhancements to Tessitura

Create and maintain documentation for core functions of this position

DONOR SERVICES

Respond to phone calls and emails from patrons occasionally as back up support for the Donor Services team

Support Annual Fund campaigns as needed

Work at a TCO performance monthly, supporting an outstanding donor experience. Periodically staff fundraising and donor stewardship events

The successful candidate will meet the following qualifications:

Associate's degree required; Bachelor's degree preferred

2-3 years of experience in a non-profit fundraising setting

Proficient with Office 365 and able to learn and use various database and planning software; familiarity with Tessitura or another donor records database required

Outstanding organizational skills and exceptional attention to detail required

Excellent verbal and written communication skills

Ability to be discreet and maintain a high degree of confidentiality

Demonstrated independent, mature judgment

Ability to consistently maintain a professional image and demeanor

Strong problem-solving skills combined with a collaborative approach

Ability to successfully prioritize and manage multiple projects and deadlines

Occasional travel to the Blossom Music Center during the summer festival required
