What You'll Do:

Ohio Department of Public Safety - Director's Office/Fiscal Services (Distribution & Inventory Services)

Report in location: 1970 West Broad Street, Columbus, Ohio 43223 or 1583 Alum Creek Drive, Columbus, Ohio 43209

Work hours: Working hours may vary (Monday - Friday 7:00am - 3:30pm or 8:00am - 5:00pm)

These positions may work at the: Charles D. Shipley Building or Alum Creek Facility

Maintain extensive agency-wide & statewide inventory such as furniture, equipment, records, or vehicles & develop, implement & enforce policies & procedures on inventory control:

Assists in the planning, coordination & distribution of fixed assets to ODPS facilities;

Updates, verifies, & tracks all information on automated Asset Management System; Coordinates with Distribution Services on receipt, storage, issue, shipment, & pickup of fixed assets;

Coordinates disposal of fixed assets with State Salvage to ensure proper disposal procedures are followed & policies are enforced;

Coordinates with state agencies on fixed asset requirements, inventory & accountability;

Monitors & trains in the operation & maintenance of the Asset Management System, ensuring accurate key entry by Asset Management staff;

Acts as receiving agent for supplies, materials & equipment procured by ODPS;

Accepts, receives, & verifies ordered items with vendor supplied documentation (e.g., bill of lading, packing list, invoice, etc.);

Verifies arriving items &/or products meet available ODPS specifications & notifies appropriate authorities (e.g., management, purchasing, end-user, etc.) regarding any discrepancies, damages, & missing product to resolve discrepancies;

Operates personal computer, barcode scanner, & data systems to order transportation requests, update order status & track arriving shipments; (e.g., Business Inventory Management System (BIMS), Workflow Tracking & Follow-up System (WTFS), OhioBuys, MS Access, MS Excel, OAKS, etc.);

Maintains accurate inventory files, distributes packages, & receives & processes items returned from ODPS locations for storage, repair, &/or salvage;

Responds both orally or in writing to inquiries from vendors & ODPS personnel regarding inventory issues;

Coordinates the transfers of received product with proper documentation to its destination; Monitors completion of outstanding orders;

Assists supervision as lead worker by directing entry-level staff & ensuring adherence to established procedures;

Assists Inventory Control Supervisor with the inventory of fixed assets for ODPS;

Assists in physical inventories which will require some overnight travel, bar coding of assets, maintenance of Asset Management System database, exchange of fixed assets for repair, & preparation of items &/or disposition forms for salvage disposal;

Operates state vehicle to transport various equipment, materials & supplies (e.g., office supplies, forms, furniture, etc.) to various locations throughout the state; Operates warehouse equipment (i. e., forklifts, manual & electric pallet lifts, dock levelers, etc.); Trains personnel in safe operation of vehicles (e.g., box trucks & liftgates), proper load securing methods, & use of material handling equipment;

Verifies receiving documents with procurement documents to ensure all relevant data is available for posting to the Asset Management System & resolving shortcomings;

Verifies proper location for storing arriving products & ensures proper rotation First In, First Out (FIFO) to ensure orderly issuance of distributed products;

Assists other units & sections (e.g., tag assets, pull records, process salvaged materials, bailor, etc.);

Maintains records on salvaged, recycled & destroyed materials in accordance with agency policies; Accepts, verifies, & stores other salvaged &/or recyclable products & materials;

Monitors contracted destruction services & records time, quantity, & volume of materials destroyed;

Manages business functions of the office to include researching, preparing, & filing inventory reports as requested by management; Maintains office files relating to asset management & inventory control;

Develops, implements, & enforces policies & procedures pertaining to inventory control, asset management & disposal projects;

Coordinates reporting requirements with Ohio Department of Administrative Services & Office of Budget & Management;

Prepares inventory & asset management related correspondence for management signature & distribution;

Verifies & shreds materials (e.g., security level retention records that have exceeded their scheduled retention period);

Assists other department sections as needed; Provides support to recycling, surplus, and miscellaneous programs as needed; Assists in the preparation of requisition orders as needed;

Performs other duties as assigned.

9 mos. exp. as Inventory Control Specialist, 64551.

-Or 18 mos. trg. or 18 mos. exp. in inventory control; 3 courses or 9 mos. exp. in electronic data processing related to inventory control; 1 course or 3 mos. exp. in public relations.

-Or equivalent of Minimum Class Qualifications For Employment noted above.
