Part-time Administrative Support
The Administrative Support Staff Person is charged with the overall responsibility of providing general reception services and office administration support to and for the parish office, the Priest in Solidum and the Director of Finance and Office Administration (DoFOA) to efficiently and effectively carry out the parish mission, the assigned goals and objectives and the day-to-day tasks of office operations. Employment data: Monday, Wednesday, and Friday 9:30 AM to 4 PM.

General responsibilities include:
Represent the parish to those who call, visit or write
Greet and announce visitors
Answer and screen phones calls and parish voice mail, accurately and promptly take and route messages
Process and distribute mail
Monitor parish email/faxes and appropriately route emails/faxes in a prompt and timely manner (including creating and maintaining file system for Priest in Solidum of Family of Parishes, Clergy Mail, and Parish Mail information)
Maintain office supply areas so that they are neat and tidy, monitor office supplies and inform DoFOA of supply needs
Monitor and maintain office equipment and inform DoFOA of any problems or issues
Maintain Mass Intention Register
Accurately prepare and submit Mass Intentions for publication in the bulletin
Maintain records and files (including Sacramental Records and ParishSOFT Family Suite)
Prepare correspondence and reports as requested
Respond to needs of councils, commissions, and organizations as needed
Maintain work environment in a neat and order manner
Assist in scheduling sacraments
Other tasks as assigned
Qualifications / Requirements:
Ability to maintain strict confidentiality in all matters
Ability to work effectively independently and as part of a team
Basic knowledge of how a parish operates and ability to quickly grasp how parish office functions may vary at times
Excellent organizational skills with attention to detail
Ability to multi-task
Strong attention to detail
Excellent oral and written communication skills
Highly developed computer skills (Proficient in Microsoft Office, specifically Word, Excel, Publisher, Power Point). Experience using database software and web-based publishing a plus.
Must be able to type with speed and accuracy
Strong relational skills
Active member of a Roman Catholic parish faith community (sometimes this requirement may be satisfied by a person who has knowledge of and is willing to function in a manner consistent with the mission of the Catholic Church).
Criminal background check and Protecting God’s Children requirements must be met.
