Position Summary
We are seeking a proactive, highly organized Executive Assistant to directly support the Owner/Founder. This role includes managing calendars, coordinating travel, handling administrative and communication tasks, and providing personal support as needed. The ideal candidate will thrive in a dynamic, ever-changing environment and be capable of anticipating needs, making informed decisions, and staying calm under pressure. Calendar management and complex travel coordination will be top priorities, along with clear communication and discretion.
This is a strategic support role for someone who excels at creating structure, solving problems, and managing multiple priorities with excellence and professionalism.
Key Responsibilities
Coordinate and manage all travel logistics in partnership with a travel agency
Maintain complex calendars, schedule meetings, and adjust plans as needed
Field emails, calls, and other communications on behalf of the Owner/Founder
Provide occasional personal or household-related support, including communication with household staff
Organize and host meetings (in-person or virtual), create agendas, and track follow-up items
Ensure documentation and filing systems are up to date and accessible
Plan and execute internal company events and contribute to external philanthropic initiatives
Support nonprofit and board-related communications and event logistics
Be responsive outside traditional business hours for urgent matters or company functions
Consistently represent the organization with professionalism and confidentiality
Skills & Qualifications
Bachelor's degree preferred; high school diploma or equivalent required
Minimum of 3-5 years of experience in an executive support role
Strong ability to manage multiple calendars and coordinate travel
Experience supporting high-level executives, particularly Visionary leaders
Excellent written and verbal communication skills
Tech-savvy and highly proficient with Microsoft Office Suite, Zoom, iPhone applications, and travel platforms
Detail-oriented, adaptable, and calm under pressure
Discreet, trustworthy, and grounded in a service-oriented mindset
Capable of anticipating needs and working independently with confidence and care
