Job Description
The Deposit Operations Officer is responsible for overseeing all deposit-related functions, ensuring accurate processing, regulatory compliance, and operational efficiency. This role includes direct supervision of deposit team leader and deposit payment specialist, maintaining optimal workflow, and meeting established deadlines. The manager will play a vital role in enhancing efficiency, maintaining security protocols, and improving customer service standards.
ESSENTIAL FUNCTIONS and DUTIES:
Supervise daily operations of the deposit department, ensuring consistent execution of tasks and adherence to established policies.
Recommend and implement cost-saving measures and drive efficiency while maintaining high service levels.
Oversee balancing the general ledger daily and ensure all reconciliations are completed accurately. This oversight includes nonpost corrections, proper resolution of deposit application errors, including ACH transactions.
Oversee reporting requirements related to compliance, fraud detection, and data analysis.
Analyze financial reports to ensure regulatory compliance and recommend process improvements.
Train, mentor, and schedule direct reports, ensuring optimal performance, cross-training, and professional development.
Work with Deposit Operations Team Leader to ensure the department is properly staffed, including scheduling, absentee records, and performance evaluations.
Ensure customer inquiries and disputes are handled efficiently through research and resolution.
Perform investigative research for subpoenas in collaboration with the Fraud/Security Officer.
Periodically review deposit department procedures to ensure all functions are executed promptly and accurately.
Oversee the ATM/Visa Check card program which includes maintenance, reconcilement of associated accounts, handling of disputes and dispute resolution within regulated guidelines.
Manage internal cash flow oversight, including balancing and notifying branch personnel of cash items.
Supervise review of new CIFs and deposit accounts.
Supervise account maintenance, including updates to customer files and CIF adjustments.
Oversee the monitoring of the overdraft programs, and processing of charge-offs.
Ensure compliance with decedent reporting, unclaimed property reporting, and IOLTA account regulations.
Supervise wire transfer processing, ACH returns and discrepancies, including Social Security returns, and Fedline-related activities, ensuring completion within regulatory timeframes
Monitor correspondent banking activities, ensuring timely reconciliation of transactions.
Gather necessary documentation for regulatory review and audits
Supervise processing of tax levies and garnishments, ensuring accuracy and timely compliance.
Update and maintain the deposit operations manual to reflect current industry standards.
Ensure accurate handling of account maintenance requests, including telephone transfers and employee transactions.
Encourage upward communication, ensuring staff feedback is heard and incorporated into procedural improvements and enhancements.
Submit deposit operations policies for board review and approval when required.
Assist in developing deposit pricing models for new business products.
Represent the bank in community affairs, increasing visibility and fostering business opportunities.
Perform additional responsibilities as assigned.REQUIRED SKILLS and ABILITIES:

REQUIRED EDUCATION and EXPERIENCE:
Bachelor’s degree in accounting, Business Administration, or related field preferred.
High school diploma with a minimum of 7 years of deposit operations experience considered.
Strong written and verbal communication skills, including proficiency in business correspondence.
Excellent keyboard and PC skills, with experience in banking-related software applications.
A valid driver’s license is required for business-related travel.
TRAVEL REQUIREMENTS:
Travel between HNB offices as needed.
