ms consultants, inc. is actively seeking a detail-oriented and proactive Technical Administrative Assistant to join our Building Systems Business Unit in the Columbus office. This dynamic and integral role is ideal for a motivated professional with strong organizational skills and a keen eye for detail. You’ll play a key part in supporting day-to-day operations, including document management, administrative coordination, invoicing, and permitting for various projects.

About the Building Systems Business Unit

Our Building Systems Business Unit provides architecture, engineering, and planning consulting services to a variety of commercial and public clients including financial, retail, restaurant, office, municipal and grocery. Project types range from multi-unit retail to schools, municipal facilities, fairgrounds, industrial sites, and urban redevelopment.

What You'll Do:

Project Setup & Administration:

Establish and maintain project tracking systems (e.g., Smartsheet).

Assist with subcontract drafts and production folder organization.

Coordinate Deltek planning updates and collaborate with accounting teams.

Set up financial trackers and organize digital project folders.

Production Tracking & Team Coordination:

Attend and document weekly team meetings.

Update production tracking sheets and schedules.

Monitor internal and external milestone dates, flagging upcoming actions.

Distribute updates from external bulletins, as necessary.

Subconsultant & Scope Coordination:

Manage communications with internal teams and external subconsultants.

Coordinate production file sharing and documentation.

Track subconsultant scope and fee updates in collaboration with accounting.

Financial & Budget Support:

Apply monthly fee percentage mark-ups.

Participate in monthly billing meetings.

Assist with budget setup, submission, and revision tracking.

Educational Qualifications

Bachelor’s degree preferred, but not required

Knowledge and Skills

Strong background in project coordination, with experience in invoicing and permitting procedures

Proficient in project tracking and collaboration tools such as Smartsheet and Deltek, with the ability to adapt quickly to new systems.

Excellent communication and organizational skills, with a focus on clarity, accuracy, and follow-through.

Skilled at managing multiple priorities, tasks, and deadlines in a fast-paced environment.

Analytical thinker with attention to detail and commitment to accuracy

Team-oriented with excellent interpersonal skills and a collaborative approach

Self-motivated, adaptable, and comfortable working in a fast-paced, deadline-driven setting

Experience in the Architecture & Engineering (A/E) industry is a plus but not required.

Previous experience supporting teams in a project-based or professional services environment is strongly preferred.
