JOB SUMMARY: We are seeking an experienced Payroll Specialist to join our team. The ideal candidate will possess a strong understanding of payroll processing, collective bargaining agreements (CBAs), and labor laws. This role requires a detail-oriented professional with strong organizational skills, who can manage complex payroll functions for all company employees - salaried, hourly and union.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES: The following are the essential functions and responsibilities of the position but are not all inclusive. These may be updated or revised from time to time, and other duties may be required and or assigned.
Process weekly payroll for a large, unionized construction workforce, ensuring accuracy and timely payments.
Interpret and apply collective bargaining agreements (CBAs) to ensure accurate wage calculations, benefits, overtime, and other union-specific terms.
Manage employee benefits, deductions, and garnishments in compliance with CBAs, federal, state, and local laws.
Ensure accurate reporting and deductions for union dues, health benefits, pensions, and other contractual obligations.
Monthly payroll reconciliation to General Ledger accounts
Prepare and submit payroll reports, including tax filings, required union reports, certified payrolls, etc.
Handle payroll discrepancies, address employee concerns, and resolve issues in a timely manner.
Collaborate with HR and Accounting team to ensure accurate employee records and benefit allocations.
Stay updated on changes in labor laws, tax regulations, and CBA terms to ensure full compliance.
Assist with audits and assist in preparing financial reports related to payroll.
Maintain confidentiality and handle sensitive payroll information with the utmost discretion.
Support the implementation of payroll system updates or changes and troubleshoot any system-related issues.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
Collective Bargaining Experience: Experience working with collective bargaining agreements in a unionized setting, particularly within the construction industry.
Strong Organizational Skills: Ability to manage multiple priorities in a fast-paced environment, with a keen eye for detail and strong problem-solving abilities.
Proven experience in processing payroll for a unionized workforce, including understanding union rules and wage structures, certified payroll processing and Davis Bacon rules.
Strong knowledge of federal, state, and local payroll laws, including tax regulations and benefits administration.
Excellent verbal and written communication skills to work effectively with employees, union representatives, and internal teams.
Proficiency with Microsoft Outlook, Word, and Excel
Ability to handle sensitive information with integrity and confidentiality.
Construction software system (Vista Viewpoint) experience preferred
REQUIRED EDUCATION & EXPERIENCE:
High school diploma or GED equivalent plus advanced education in accounting or business
Minimum of 3 years prior experience within the construction industry
