What our client needs:

We are seeking an experienced, highly organized, and discreet House Manager, Executive & Personal Assistant to oversee the day-to-day operations of a private residence and provide executive and personal support to a high-profile individual and their fun and busy family. This role requires exceptional multitasking skills, problem-solving abilities, great discretion, and the ability to maintain confidentiality. This role requires the ability to work onsite in Southern Vermont at least 2 days per week as well as the ability to travel to Rhode Island occasionally to oversee a home renovation project.

To be successful in this role you must be comfortable with being “on” all the time and be willing to work long and sometimes irregular hours during special events and meetings. You need to be tech savvy, excited to handle multiple calendars, Excel spreadsheets, and love using the entire Google suite. If you love solving problems independently, anticipating needs before they arise and “already took care of it” type of person, and if you thrive in a fast-paced environment with the ability to pivot quickly, YOU are exactly who we are looking for. You will also need to be professional and able to maintain a good working relationship with your leader, their business colleagues and their family members.

Your Responsibilities:

House Management and Personal Support:

Oversee all aspects of household operations, including maintenance, repairs, and vendor management.

Coordinate with the personal chef regarding weekly meal ordering and delivery.

Oversee housekeeper, to ensure the residence is always guest-ready, clean, and running smoothly.

Oversee pet sitter to ensure that pets are taken to appointments and care is coordinated for when the family is away.

Manage household inventories, including supplies, groceries, and other items.

Coordinate with House Runner on all package pick up, personal errands, shopping, returns, lunches and coffee runs, flower and gift purchases.

Maintain household budgets, track expenses, and handle invoice payments.

Organize and oversee special events, dinner parties, and gatherings.

Ensure security protocols are followed and maintain discretion at all times.

Support, as needed, with managing new home renovations in Rhode Island. Must be willing to be onsite in Rhode Island as needed.

Manage the family personal calendar and book all personal appointments and reservations.

Oversee the families healthcare, book appointments, complete new patient paperwork, prescription management and monitor all test results.

Assist with personal correspondence, including emails, calls, and scheduling.

Work with VIP travel agent to arrange all personal and family travel including flights, accommodations, ground transportation, tours etc…

Assist with wardrobe management and packing for travel.

Handle confidential matters with professionalism and discretion.

Special projects and research.

Executive Assistant Responsibilities:

Provide executive-level support to two business owners and their Executive Assistant

Calendar management

Meeting attendance, note-taking

Project Management

Handle incoming requests and correspondence

Essential Skills and Abilities:

10+ years of experience as a House Manager and/or Executive/Personal Assistant in a high-profile household.

Strong leadership and problem-solving skills.

The perfect candidate thrives under pressure, is flexible, great at pivoting and handling last-minute changes and requests with a smile.

Exceptional organizational and time-management abilities.

Tech-savvy with proficiency in Google Workspace, scheduling apps, Slack, Zoom, email management, and budgeting software.

Willingness to travel as needed and be available 24/7 for emergencies.

Must have a valid driver’s license and a reliable vehicle.

High level of discretion, professionalism, and loyalty.

The role requires at least 10 years of Executive Assistant/Personal and/or House management experience.

LOCATION SPECIFICS.

Southern Vermont to Albany, New York (willing to travel up to 70 miles 2 days per week and occasionally to Rhode Island)
