**Job Summary:**
The Administrative Assistant provides administrative support to ensure efficient operation of the office. The role requires handling a wide range of administrative and clerical tasks. The individual must be organized, detail-oriented, and capable of working in a fast-paced environment.
**Key Responsibilities:**
- Answer and direct phone calls.
- Maintain and organize physical and digital filing systems (project documents, contracts, etc.).
- Order supplies and maintain inventory.
- Handle incoming and outgoing mail and deliveries.
- Assist in the preparation of invoices, proposals, and expense reports.
- Track project expenses and support in budget monitoring.
- Help manage accounts payable and receivable records.
*Experience:**
- High school diploma or equivalent required; associate degree or higher preferred.
- 1-5 years previous administrative experience in the construction industry required.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other office software.
**Skills and Abilities:**
- Strong organizational and time-management skills.
- Excellent communication (written and verbal) and interpersonal skills.
- Ability to multitask and prioritize work in a fast-paced environment.
- Attention to detail and problem-solving skills.
- Knowledge of basic accounting principles and Quickbooks required.
Primarily office-based, the role may require flexibility to handle urgent tasks or meet deadlines.
