The Executive Assistant is responsible for processing and maintaining the Superintendent's confidential and non-confidential correspondence.
The Executive Assistant assists with keeping records and filing reports, ensuring absolute confidentiality of information, files, and records.
QUALIFICATIONS: Minimum of a two-year degree in clerical/office management or five years' experience performing, at a high level, the duties and responsibilities associated with this position.
Must possess strong organizational, problem-solving, and computer skills.
REPORTS TO: Superintendent DUTIES AND RESPONSIBILITIES: * Maintain a positive attitude and style, contributing to the district's overall positive image.
* Prepare letters and documents for the Superintendent and maintain a schedule of appointments and conferences.
* Maintain a filing system for district correspondence and records.
* Compile statistics and gather data as needed, including researching past board actions and conducting and completing surveys/questionnaires.
* Prepare and post agendas.
* Publish legal notices concerning district business.
* Prepare Board meeting minutes for publication and official records.
* Handle all aspects of the Board election, including notices, ordering materials, etc.
* Update the Board policy book with new or revised policies and maintain board policies online.
* Prepare state and federal reports such as accident, curriculum, and staff assignments.
* Assist with the district newsletter and printed material for mailing.
* Prepare and keep updated the academic calendar * Record and gather information for all FOIA requests.
* Support the Superintendent with initiatives * Make arrangements for Convocation, End of Year Recognition Programs, and Teacher Appreciation.
* Facilitate the programs for Teacher & Paraeducator of the Year * Manage District Social Media * Perform other duties as directed by the Superintendent.
Requirements * Must pass federal and local background checks; * Must have reliable transportation; * Must complete all pre-employment requirements before the start date; * Must be able to lift a minimum of 50 pounds.
