Base pay range
$20.00/hr - $23.00/hr
Position Description: The Executive Assistant will provide high-level administrative support to the CEO and other Executive members. Reporting directly to the CEO, the EA provides executive support in a one-on-one working relationship, serving as a supportive force to empower leadership. The Executive Assistant should be creative and enjoy working within an entrepreneurial environment. The ideal individual will be able to exercise sound judgment in diverse situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The incumbent should also be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Job Responsibilities:
The Executive Assistant serves the CEO in the following ways:
Finance & Accounting
Reconcile timecards and submit payroll via Gusto
Send and manage vendor invoices via Quickbooks
Enter external payments to ERP/CRM Configio
Process end-of-season revenue reports, communicate reports with partners, and submit checks quarterly
Liaise with the accountant on monthly expenses and credit card reconciliation of employees
Human Resources
Onboard new employees in Gusto
Manage time off policies and calendar for full-time staff via Gusto
Assist with talent acquisition by reviewing job descriptions and screening candidates
Manage company surveys to ensure benefit programs are serving employee needs
Maintain company handbook
Project Management
Run weekly enrollment and revenue reports and update the CEO's/company's weekly scorecard numbers and rock progression.
Work closely with departmental directors to ensure inventory ordering and tracking is completed on time.
Review project management boards to ensure on-time completion of season launch and close activities
Schedule and Email Management
Manage CEO's email inbox and triage messages accordingly
Maintain CEO's calendar
Schedule personal appointments for the CEO and family and add them to the calendar as needed.
Prepare and send invitations as needed for personal and family events, such as birthdays and holiday parties.
Essential Qualifications and Skills:
Strong written and verbal communication skills
Experience with Quickbooks
Experience with payroll software programs
Significant problem-solving skills
Digital Literacy: Microsoft computer application, ERP and CRM, project management software competency
Preferred Qualifications:
Understanding of EOS business model
