Summary We are seeking an experienced Executive Assistant to provide high-level support to the Executive Vice President.
The ideal candidate is a proactive self-starter with strong communication skills, exceptional attention to detail, and the ability to manage multiple tasks and shifting priorities.
A minimum of five years of experience supporting senior-level executives is required, along with proficiency in Microsoft Office Suite and strong verbal and written communication skills.
Job Description * Perform administrative tasks such as drafting letters, memos, invoices, reports, and other documents for executives.
* Arrange travel and accommodations for executives.
* Schedule and coordinate internal and external meetings, both in-person and via video conferencing.
* Attend meetings on behalf of executives, taking notes and recording minutes.
* Review and manage incoming communications or memos, assess importance, and distribute content as needed.
* Manage special projects from initiation to completion, ensuring deadlines are met.
* Screen and respond to calls, emails, and other inquiries on behalf of executives.
* Handle a high volume of tasks with minimal guidance and maintain flexibility to respond to urgent situations.
* Maintain a high level of integrity and discretion when handling confidential information.
* Professionally represent the organization in all interactions with employees, vendors, and external partners.
* Perform other related duties as assigned.
Required Qualifications: * Bachelor's Degree in Business, Human Resources, or a related field.
* Bilingual proficiency in English and Spanish.
* Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
* Exceptional organizational, problem-solving, and interpersonal skills.
* Ability to prioritize tasks, manage deadlines, and handle multiple projects simultaneously.
* Strong verbal and written communication skills.
* Ability to collaborate effectively with executives and management teams.
* Ability to perform the physical requirements of the position, with or without reasonable accommodations.
