About The Role
We are seeking a detail-oriented, highly organized Payroll Administrator to join our team in New York City. This individual will be responsible for ensuring accurate and timely payroll processing across multiple employee groups, maintaining strict tax and regulatory compliance, and managing various incentive, commission, and rewards-based compensation programs. This position plays a critical role in supporting financial accuracy and employee satisfaction, and serves as a key partner to HR and Finance teams.
This is a hybrid role based in our NYC headquarters, with a required in-office presence of three (3) days per week.
Responsibilities:
Payroll Processing & Administration
Administer end-to-end payroll processing for exempt and non-exempt employees on a bi-weekly and semi-monthly basis.
Validate timekeeping records, bonuses, retroactive adjustments, and deductions (including benefits, garnishments, and 401k).
Collaborate with HR and department managers to ensure payroll inputs (hires, terminations, job changes) are accurate and timely.
Serve as the primary point of contact for all payroll-related inquiries, resolving discrepancies and ensuring employee satisfaction. Tax Compliance & Regulatory Reporting
Ensure full compliance with federal, state, and local payroll tax regulations.
Stay up-to-date on tax law changes and implement necessary system updates.
Prepare and file payroll tax reports in conjunction with our payroll provider; assist with W-2, W-4, and other payroll forms.
Monitor employee tax setup for accuracy, including multi-state tax jurisdictions. Incentives, Commissions, and Rewards Programs
Accurately calculate and process performance bonuses, incentive pay, commissions, and non-cash rewards in accordance with company policies.
Coordinate with HR and department leaders to align variable compensation payouts with internal guidelines and eligibility criteria.
Maintain supporting documentation and ensure proper taxation and accounting of incentive payments. Audit, Reconciliation & Controls
Conduct regular audits of payroll data to ensure accuracy and consistency between HRIS and payroll systems.
Support internal and external audits by providing requested payroll documentation and reconciling discrepancies.
Assist in developing and maintaining internal controls related to payroll and compensation programs. System & Process Improvements
Act as a payroll system subject matter expert (e.g., UKG), identifying opportunities for automation and optimization.
Partner with HRIS, IT, and Finance to implement improvements and test system changes or upgrades.
Document and maintain payroll process manuals and workflows. Requirements:
Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
3-5 years of experience processing payroll, ideally in a multi-state or multi-entity environment.
Experience working with payroll systems, specifically UKG.
Strong understanding of federal and state payroll regulations, including New York-specific requirements.
Ability to manage a variety of tasks and meet deadlines.

Salary Range
$65,000-$75,000 USD
