Global leading law firm Dechert LLP is looking for an Events Assistant with 1-3 years of experience to assist with the planning of corporate events in virtual, hybrid and in-person formats including webinars, seminars, client dinners, receptions and sponsorships/conferences. Our ideal candidate holds a bachelor’s degree, is detail-oriented, has successfully worked on events in a law firm or similar setting, and has a great deal of self-sufficiency in accomplishing their duties.
Job Description
ESSENTIAL JOB FUNCTIONS:
Support planning, implementing and conducting post-event activities for the firm’s client events including signature programs.
Managing small client dinners and round tables with limited supervision.
Assist with the coordination and scheduling of virtual and in-person thought leadership events, coordinating related logistics and execution of the event.
Assist with the onsite delivery of signature events, dinners, receptions and other social lawyer-client gatherings.
Ship collateral, giveaways and other events-related materials for events.
Updating of CRM, email and document management system tools, interest in emerging events technologies.
Update internal tools including the Events Hub, Client Events Calendar and team documents filed in iManage.
Use the firm’s CRM system (InterAction) to create event mailing lists and update contacts as needed.
Use the firm’s email management system (Vuture) to create, update and send email invitations.
Use the firm’s content management system (AEM) to add new and update events on Dechert’s website.
Purchase and distribution of speaker client gifts.
Conducts venue and corporate hospitality research and updates the firm’s engagement guide with new venues and vendors.
Prepare and process payments and invoices via Basware.
Arrange production of event materials, such as name badges, signage and promotional items.
Manage and maintain an inventory of events materials, banners, swag etc. and maintain good order of the New York events closet.
Supports the D&I, GWI and Pro Bono groups with the compilation of the event invitations and support as appropriate.
Performs any and all other duties as necessary and as assigned by your supervisor for efficient functioning of the Department, Office and Firm.
QUALIFICATIONS / KSAs:
Bachelor’s degree preferred.
1-3 years of event planning experience, preferably in a law firm or professional services environment.
Detail-oriented and organized.
Ability to multi-task.

PHYSICAL EFFORT / WORK CONDITIONS :
This position operates in a professional office environment which is generally free of hazards and exposure to adverse environmental conditions.
This position requires regular attendance on-site at a Dechert location.
This position routinely operates standard office equipment such as computers, phones, photocopy machines, fax machines and filing cabinets, and requires frequent communication with the firm’s employees and partners as well as third parties.
This position is mainly sedentary. Primary functions require sufficient physical ability and mobility to work in an office setting; to read, sit and type for sustained periods of time; to walk, stand, reach and bend; to open and close filing cabinets and access and retrieve materials in file rooms; to lift, carry and move files or other items of light to moderate weight; to operate equipment requiring repetitive hand movement and fine coordination; and to verbally communicate to exchange information.
This position requires a normal audio range, with or without correction. It also requires the normal visual range, with or without correction. Specific vision abilities required include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
Additional Job Description
At the time of this posting, the salary range for this position in New York is $50,000 to $55,500 annually. Actual compensation is commensurate with job related knowledge, skills, experience, and location of the position.
