High School Diploma or equivalent.

Post high school education in business and/or secretarial training desirable.

General office skills including the use of personal computers, filing and copying and the ability to use or learn to operate various types of office equipment.

Three (3) years secretarial experience; school district experience preferred.

Excellent writing, communication, organization and interpersonal skills to deal effectively and confidentially with a diverse group of District students, staff and the public.

The ability to work independently and to plan and carry out assignments with minimal supervision within the approved policies and procedures of the District.

Such alternatives to above qualifications as the Board may find appropriate and acceptable. JOB GOAL

To assist the Building Administration in the efficient operation of the assigned school so that the office's maximum positive impact on the community, the staff and the education of children may be realized.

ESSENTIAL FUNCTIONS

Performs general secretarial duties including word processing and typing, preparation and typing of reports, scheduling meetings and appointments, placing and receiving telephone calls, maintaining regular and orderly filing and retrieval system, copying and distribution of information and materials, processing of mail, assisting students, staff and public, etc.

Prepares and maintains the calendar for school activities and outside organizations of the assigned building; assists with school facilities use.

Maintains and prepares the building website.

Receives, verifies reports, distributes and inventories all materials/supplies.

Assists with maintaining and updating student records and computerized child accounting system.

Assists with maintaining and updating student schedules and grade reporting systems.

Assists with clerical work for the Guidance and Nursing Departments.

Assists with maintaining Activity funds, including receipts and disbursements of all funds and record keeping for the fund(s).

Assists building administration with student discipline records.

Assists with coordinating the budget accounts of the assigned building.

Participates in ongoing staff development programs.

Serves as the primary contact for the high volume copier of assigned building.

Inputs and logs all student absences and tardiness into automated system.

Collects and enters data from out of District placements for attendance.

Prepares daily, automated calls to notify parents/guardians of student absence.

Prepares and mails form letters to parents notifying them of their child's excessive absences and/or lateness.

Prepares daily attendance reports and submits to designated administrators or school district personnel.

Prepares legal documents for attendance non-compliance.

Maintains files for school district attendance records.

Regular and timely attendance.

Performs other tasks and assumes other responsibilities as may be assigned by the building principal. Performance of the Building Secretary will be evaluated annually by the Principal of the assigned building in accordance with the Board's policy on evaluations of support employees.
