Summary:

Under the direction of the Director of Financial Aid, the Associate Director of Financial Aid and Scholarships serves as a critical member of the leadership team who assists in the planning, implementation and administration of financial aid policies and procedures. The Associate Director maintains the multiple systems used to process financial aid and represents the Office of Financial Aid and Scholarships in the absence of the Director. The Associate Director must possess a thorough knowledge of federal, state and institutional financial aid programs, policies and procedures to effectively aid students, parents and the community. In addition, to administering title IV aid the Associate Director will help develop and manage how the institution delivers and administers institutional, departmental and third-party scholarships.

Examples of Duties

Duties and Responsibilities:

Represent and supervise the Office of Financial Aid and Scholarships in the absence of the Director.

Coordinates financial aid participation in the annual Single Audit with the Business Office and outside Auditors.

Coordinates financial aid participation in the FISAP completion process with Registrars, Business and Institutional Research Offices.

Assist in the development and maintenance on how the institution delivers and administers institutional, departmental and third-party scholarships.

Assist in the development and maintenance of technical documentation of existing and new policies and procedures.

Maintain knowledge of current financial aid relates laws, regulations and trends.

Assist with staff training for both financial aid staff and other on-campus departments.

Responds to inquiries and researches and resolves problems related to transactions handled by the unit; serves as liaison with other constituencies in the resolution of day-to-day administrative and operational issues.

Serves as liaison with state, federal, tribal, and other agencies; keeps abreast of student assistance opportunities and program regulations.

Oversees the collection, management, and reporting of data in accordance with the objectives of the position; participates in the development and implementation of data management systems and procedures, as appropriate.

Ensures that scholarship funds are expended appropriately by preparing budget requests and by monitoring and managing expenditures.

Coordinates with Director to help determine effectiveness of Institutional scholarship programs.

Ensures effective dissemination of information regarding Alabama A&M University scholarship programs by coordinating with the Admissions Office in developing a comprehensive communication plan.

Other duties as assigned Typical Qualifications

Minimum Position Requirements (including certifications, licenses, etc.):

Master's degree required.

Four years or more years of progressively responsible experience in financial aid.

Comprehensive knowledge of federal and state financial aid programs and regulations.

Ability to assess risks and provide prudent advice.

Excellent written and verbal communication skills and presentation skills with the ability to lead and influence and inspire colleagues and cross-functional teams Supplemental Information

Knowledge of financial aid policies, procedures, and eligibility requirements

Knowledge of data management systems and processes

Knowledge of federal and state laws, regulations, and policies concerning the provision of financial aid to students

Knowledge of the policies and eligibility requirements of a range of federal, state, and agency scholarship programs for tertiary students

Skill in the use of personal computers and related software applications

Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community

Interviewing skills

Organizing and coordinating skills

Ability to communicate effectively, both orally and in writing

Ability to verify and assess student eligibility for financial aid

Ability to analyze and solve problems

Ability to make evaluative judgments

Ability to investigate and analyze information and draw conclusions

Ability to develop and present educational programs and/or workshops

Ability to communicate effectively verbally, in writing, and over the telephone
