Role Summary:
We are seeking an experienced and highly organized Executive Admin to join our team. The ideal candidate will provide high-level administrative support to senior executives and assist in managing their schedules, communications, and various business operations. With a strong background in executive administration, the candidate will thrive in a fast-paced environment, exhibiting professionalism and discretion in all interactions.
Key Responsibilities:
Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare, proofread, and format correspondence, presentations, and reports to ensure clarity and professionalism.
Act as the main point of contact between executives and internal/external stakeholders.
Organize and coordinate events, meetings, and business-related activities, ensuring smooth execution.
Handle confidential and sensitive information with integrity and professionalism.
Manage office supplies, coordinate with vendors, and handle day-to-day office operations.
Support with strategic planning and project management tasks as needed.
Maintain filing systems, ensuring easy retrieval of information when necessary.
Prepare and manage executive communications, including responding to emails, phone calls, and other inquiries.
Assist in preparing and processing expense reports, budget tracking, and other financial administrative tasks.
Ensure executives' time is optimally managed by prioritizing requests and delegating tasks accordingly. Essential Skills:
Minimum of 8-10 years of experience in an Executive Admin or similar administrative role.
Proven track record of managing multiple executives and handling high-level administrative tasks.
Strong organizational skills and attention to detail.
Exceptional verbal and written communication skills.
High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work under pressure and meet deadlines.
Excellent problem-solving and critical thinking abilities.
Discretion and ability to maintain confidentiality.
Strong multitasking and time-management skills. Desirable Skills:
Experience with project management tools and software.
Knowledge of travel management software and systems.
Previous experience in a corporate or fast-paced business environment.
Bachelor's degree or equivalent experience is preferred. Key Attributes:
