Summary
The Albuquerque Academy Copy and Mail Center is seeking an individual for the position of Coordinator. The Coordinator provides various copy and printing functions year-round for the whole organization. They will also provide mail services by sorting daily mail and delivering mail, packages, and print jobs across campus. They will be responsible for creating all ID badges, creating and alphabetizing mailboxes in the CMC Mailroom, and managing the school vehicle fleet calendar and keys. They will be responsible for administrative support and supply ordering for the Physical Plant and other duties as required. Essential Functions
Manage mail and package flow to and from various mailboxes and locations on campus.
Perform one inter-campus mail run in the afternoon and various other deliveries when needed, including all print jobs around campus.
Manage warehouse deliveries. Be willing to learn to drive a forklift.
Open mail to specified departments that could potentially contain checks and log data in a spreadsheet shared with the Accounting department.
Receive deliveries and notify recipients via email upon arrival. Coordinate storage of large quantities of boxes or freight deliveries in advance of future events as needed.
Prepare outgoing mail for Federal Express and UPS when needed.
Apply outgoing mail with correct postage each day before USPS pickup. Assist with personal postage on occasion and bill to payroll.
Handle all holiday mail and shipment holds.
Provide lead support for bulk mailings, including financing USPS permits for several departments on campus.
Drive items to off campus shipping hubs when special paperwork for shipping is required.
Prepare outgoing certified mail and Priority Mail with USPS when needed. Keep a log of tracking numbers for sent packages to verify receipt of items when necessary.
Reconcile copy charges at the end of each month and keep a daily spreadsheet log of jobs. Send reports to the Accounting department for reconciliation.
Maintain inventory by ordering all products used and stored in the Copy Center. Order all shipping and receiving materials, boxes, and packing supplies when needed. Help with Physical Plant department ordering on occasion.
Take and place orders, and deliver Academy branded stationary when needed for various departments.
Be responsible for creating all IDs, including taking photos for new students. Clean and maintain all equipment outside of leased copy machines including the ID printer, poster printer, laminator, folding machine, and postage meter.
Provide strong work relationships with Copy Center vendors.
Provide advanced and consultative assistance and expertise to customers for copy jobs and mailing questions.
Help with student print jobs.
Attend Weekly calendar meetings.
Cooperate with campus events for signage and print outs.
Perform some after hour and weekend work as required.
Support the School and its mission, always maintaining a high degree of professionalism.

Manage school vehicle monitoring.
Provide other pickup and delivery services off campus as requested.
Coordinate ID badge access with the Security department.
Manage the school vehicle check-in and check-out schedule. Coordinate that keys are available for the requesting party to use for before, during, and after-hours trips. Be the liaison for reporting all vehicle issues, cleanliness, mechanical problems, license plates, registrations, insurances, and whether maintenance is needed to mechanic and facilities personnel.
Provide backup coverage to Faculty Admins in other departments when needed.
Attend employee meetings as needed.
Perform other duties as assigned. Job Qualifications
Education
A high school diploma or equivalent is required. Experience
Previous experience with copy machines and computers is required.
Previous experience with document formatting and graphics art software, such as Adobe Suites, is preferred. Knowledge/Skills/Abilities
Advanced knowledge of computers.
Advanced knowledge of Google Sheets.
Strong customer service, problem-solving, and troubleshooting skills.
Understanding of and ability to operate the following equipment: black and white copiers, color copiers, desktop computer, large-format poster plotter, postage machine, ID machine, telephone system, large and small lamination machine, Guillotine and Guillotine Stack Paper Cutters for large-scale cutting, poster sizing/trimming.
Ability to work with minimal supervision.
Ability to multitask daily operations.
Ability to work proficiently in a fast-paced environment.
Effective verbal communication skills.
Ability to take direction well.
Ability to handle confidential information. Special Requirements
A valid Driver's License with a clean driving record is required.
Must be legally authorized to work in the United States. Working Environment
Majority of work is performed in both indoor and outdoor settings on campus.
Work hours are generally from 7:30 a.m. to 4:00 p.m. Monday through Friday. Physical Demands
Ability to regularly lift and carry up to 50 pounds with or without assistance.
