Secretary - Supporting the Center for Student Creativity, GLSD Art Conservation Trust & GLSD Development Office / Greater Latrobe Partners in Education Foundation

REPORTS TO: Director of the Center for Student Creativity & Development

POSITION OVERVIEW:

The Greater Latrobe School District seeks a highly organized and motivated individual to serve as a full-time, 12-month Secretary. This integral position provides essential administrative support to the offices of the Center for Student Creativity, the GLSD Art Conservation Trust, and the GLSD Development Office, with a significant focus on supporting the Greater Latrobe Partners in Education Foundation. The successful candidate will play a vital role in the daily operations, event coordination, donor relations, and administrative functions crucial to the success of these key district initiatives.

QUALIFICATIONS:

High School Diploma or equivalent required; Associate's or Bachelor's Degree preferred.

Minimum of two (2) years of experience in an administrative support role, preferably within an arts organization, non-profit, fundraising, or educational environment, with experience in event coordination highly desirable.

Proficiency in the Google Suite of Products is essential.

Demonstrated excellent written and verbal communication skills, strong organizational abilities, and the capacity to manage multiple tasks effectively both independently and under supervision.

Ability to work collaboratively with staff, students, volunteers, donors, and community members.

PRIMARY DUTIES AND RESPONSIBILITIES:

A. Support for the Greater Latrobe Partners in Education Foundation & GLSD Development Office:

Serve as the primary administrative liaison for the Greater Latrobe Partners in Education Foundation.

Manage record-keeping for all charitable gifts, grants, and pledges received by the GLSD Development Office and the Partners in Education Foundation, including timely processing of acknowledgements and thank-you letters.

Assist with the preparation, submission, and tracking of grant applications and funding reports.

Coordinate logistics for meetings of the Greater Latrobe Partners in Education Foundation Board and its various committees, including scheduling, preparing agendas and materials, attending meetings, and taking/distributing accurate minutes.

Support donor cultivation and stewardship activities.

B. Support for the Center for Student Creativity (CSC):

Coordinate the daily schedule and usage of the Center for Student Creativity facilities and resources.

Communicate effectively with district faculty, administration, students, and external partners to organize and facilitate various activities, workshops, and programs held within the CSC.

Maintain accurate records of facility requests, manage room bookings, and process related invoices.

Provide administrative support to students, community volunteers, and visiting artists engaged with activities at the Center.

C. Support for the GLSD Art Conservation Trust:

Provide administrative and logistical support for Art Conservation Trust fundraising events, particularly the annual Art Gala, and other special projects.

Maintain accurate record-keeping for all charitable gifts, grants, and pledges specific to the Art Conservation Trust, including processing acknowledgements.

Assist with coordinating and supporting art tours for various groups, including class reunions, community organizations, and school classes.

Maintain current and comprehensive records for the district's art collection, including conservation documentation and appraisal records.

Assist with administrative tasks related to maintaining the security systems, title plates, and track lighting for the art collection displays.

Coordinate logistics for meetings of the Art Conservation Trust and its committees, including scheduling, preparing materials, attending meetings, and taking/distributing minutes.

ADDITIONAL RESPONSIBILITIES:

Assist with the physical setup and breakdown for events within the Center for Student Creativity and other district areas as needed (e.x., arranging tables and chairs).

Operate audio/visual equipment in support of meetings and events.

Perform other related duties as assigned by the Director.

COMPENSATION AND BENEFITS:

This is a full-time, 12-month secretarial position.

Compensation is approximately $16.00 per hour.

Full benefits package is included.

A stipend is available for hours worked outside of the regular workday.
