Job Description

We are seeking a Property Director with verifiable industry experience to direct our asset toward the accomplishment of the company's key goals and objectives. The candidates we seek wants a full-time career in property management. They will also possess a positive, friendly and professional demeanor, strong sales, customer service and computer skills, good business acumen and excellent communication skills.

POSITION OVERVIEW:

BONUS & COMMISSION: Quarterly bonus opportunity, incentives and commissions

SCHEDULE: 5 days per week

RESPONSIBILITIES Include:

** Increase property revenues

** Control operating and maintenance expenses

** Train, supervise, empower and motivate direct reports and vendors

** Create and maintain a positive, stimulating and safe work environment

** Achieve customer satisfaction through responsiveness to needs, enhanced communication and unparalleled professionalism

** Interior and Exterior renovation experience

CANDIDATES MUST HAVE:

** A minimum 4-5 years' of experience in multi-family property management.

** Experience in sales, marketing and apartment management and personnel management

** Strong customer service, problem solving, organizational, time management and oral and written communication skills

** Yardi Experience a MUST

** Proficiency with MS Word, Excel and Outlook, CRM

** Physical and visual ability to inspect apartment units, landscaping, vendor and subordinate work performance

** Valid Nevada drivers' license, a good driving record and dependable transportation

** The ability to pass a criminal background check, drug screen and credit check as a condition of employment

ESSENTIAL JOB FUNCTIONS:

1. Personnel

a. Employ qualified associates for all positions at community.

· Hire, counsel, promote and terminate associates. Regional Manager approval needed for terminations and hirings.

b. Monitor work and professional growth of all staff members.

· Conduct performance reviews. Complete Status Reports. Engage in day-to-day feedback and counseling.

c. Help all staff members become more proficient at their jobs.

· Inspect work and give immediate feedback. Impart knowledge and engage associates in constructive dialogues about work efficiency.

d. Schedule work to be performed, including vacations, holidays, after hours emergency coverage.

· Use calendar to outline each staff member’s tasks. Maintenance scheduling to be done in conjunction with Maintenance Supervisor.

e. Submit time cards and personnel change notices.

· Approve time cards from associates. Approve and/or prepare payroll summary and payroll authorization of personnel change notices.

2. Leasing/Marketing

a. Supervise activities of Leasing Consultants

· Prioritize activities, inspect work and increase results as directed by Regional Manager.

b. Know all competing properties, rent rates, discounts, and managers.

· Shop competitors. Foster rapport with community managers.

c. Complete Monthly Marketing Survey. Have complete understanding of all competing rents in market.

· Recommend rent changes to Regional Manager for approval.

d. Complete monthly marketing strategies.

· Make decisions on market position of asset. Define future plans to successfully market property. Set goals – present monthly marketing strategies to Regional Manager for conference.

e. Review and approve or deny applications for residency.

· Use Davlyn Property Management Company’s guidelines for review of applications.

f. Review all lease renewals. Set renewal prices with Regional Manager.

· Submit renewal recommendations to Regional Manager for conference and approval. Assign responsibilities for renewal conferences with renters.

3. Resident Service

a. Implement a professional and courteous attitude throughout all property operations.

· Promptly attend to resident complaints and/or comments. Instruct associates to show a caring attitude in their work.

b. Make unsolicited calls to residents to ensure service satisfaction.

· Respond to all feedback from customers with corrective action.

c. Conduct positive customer service social calls.

· Event to be conducted within Davlyn Property Management policy and property budget.

d. Conduct thorough move-in orientation and apartment inspection with new residents.

· Complete paperwork, prepare lease, sign lease. Accompany resident to view apartments. Assign to resident manager, as needed.

4. Maintenance

a. Set maintenance staff priorities

· Use calendar

b. Constantly inspect property for proper maintenance. Maintain list of items that need correction. Schedule completion of work.

· Attend to liability hazards immediately if correction is less than $300. If over $300, confer with Regional Manager.

c. Understand typical maintenance problems and solutions and Davlyn Property Management’s maintenance policy.

· Per company policy.

d. Check quality of maintenance work. Inspect market ready apartments. Perform follow-up calls on completed service requests.

· Take corrective measures with staff. Give feedback to staff on quality of their work. Assign follow-up calls as directed.

e. Maintain records of completed service requests and capital expenditures.

· Use approved Davlyn Property Management’s service request systems. Assign to Assistant Property Director (if applicable).

f. Supervise work of contractors – landscape, pest control, refuse removal, etc.

· Make recommendations to contractor for approved service. Delegate to Maintenance Supervisor when possible.

5. Collection/Legal. Fair Housing

a. Collect all rents by the 4th day of each month.

· Use Davlyn Property Management Company’s policy to collect rents, serve legal notices. Refer to legal counsel for court fillings. Attend court hearings. Accept full payment only. Monitor delinquency.

b. Insure compliance with Community Policies and lease agreements.

· Inspect property, respond to violations, communicate with residents, serve legal notices as required and approved.

c. Assess move-out condition of apartments and expedite security deposit disposition.

· Evaluate apartment condition. Assign charges. Complete Davlyn Property Management’s move-out paperwork and move-in inventory and condition. Send to collection if needed.

d. Refer all liability claims. Legal complaints, or violations to Regional Manager immediately.

e. Monitor community for compliance to all Fair housing, Fair Employment and ADAlaws.

· As directed by company and local, state and federal laws and guidelines. Educate all staff members in requirements.

6. Purchase/Payables

a. Purchase supplies for proper operation of the property.

· Use approved Davlyn Property Management vendor list. Create PO and follow PO procedure. Review approved purchases with maintenance supervisor.

b. Maintain adequate inventory of supplies.

· Check inventories in office and maintenance areas. Reorder based on future needs.

c. Prepare and approve invoices, forward to Regional office.

· Review invoice for accuracy. Follow Payable procedure to submit to Corporate for payment.

d. Maintain Petty Cash. Property Director has personal financial responsibility for all funds in petty cash.

· Issue petty cash for approved purchases. Submit petty cash for reimbursement, with proper coding.

7. General Responsibilities

a. Safeguard and deposit all receipts in designated bank accounts.

· Comply with Davlyn Property Management’s policy on handling of funds.

b. Record all receipts.

· Use Yardi for review that all receipts are correct. Maintain copies of receipts for up to three months.

c. Produce management reports as scheduled.

· Use Yardi for review and access to all reports.

8. Financial Responsibilities

a. Preparation of budgets and management plans.

· Assist Regional manager in annual preparation of budget and management plan.

b. Monthly Reporting.

· Assist Regional manager in preparation of monthly variance reports as directed.

c. Daily Monitoring.

· Carefully monitor daily income and expenses, per company system, to ensure bottom line financial performances of the asset.

9. Accounting Responsibilities

a. Maintain company database on a daily basis.

b. Communicate on a weekly basis to Home and Regional Offices.

c. Process SODA’s

· Per Davlyn Property Management’s policy as set by Regional Manager.

d. Train Assistant Property Directors (if applicable).

PHYSICAL AND MENTAL ESSENTIAL FUNCTIONS:

VISION REQUIREMENTS:

1. Constant need (33% to 100% of time) to complete forms, read and review reports, wide variety of correspondence, view computer screen. Frequent need to see small detail.

2. Constant need (66% to 100% of time) to see things clearly beyond arm's reach (inspecting property, neighborhood survey).

HEARING REQUIREMENTS:

Constant need (66% to 100% of time) to communicate over telephone and in person with vendors, corporate and resident staff, residents and prospects.

SPEAKING REQUIREMENTS:

Constant need (66% to 100% of time) to communicate over telephone and in person with vendors, corporate and resident staff, residents and prospects.

DRIVING REQUIREMENTS:

Occasional need (1% to 33% of time) to utilize personal transportation to inspect apartment properties and the surrounding neighborhood, make trips to bank and also visit regional office.

WORKING ENVIRONMENT:

1. Constantly Indoors (33% to 100% of time). Frequently Outdoors, all conditions (33% to 66% of time).

2. Occasional exposure (1% to 33% of time) to paint fumes, solvents, adhesives, etc. Example--apartment during or immediately after turnover.
