Position Overview
As a TMS Coordinator I, you are a key leader in your clinic, ensuring seamless day-to-day operations while supporting patients through their care journey. This role blends administrative excellence, patient engagement, and leadership presence. You’ll also step in to support TMS treatments as needed, helping deliver an exceptional experience at every stage.

Key Responsibilities
Clinic Operations & Patient Support (60–75%)
Greet and support patients throughout their visits with warmth and professionalism.
Collect and manage patient payments using Transaction Express, including setting up recurring payment plans.
Process New Patient Packets (NPP) and collect required documentation and signatures (e.g., ROI forms).
Maintain clinic inventory, order supplies, and keep the clinic environment clean and organized.
Schedule patient appointments and manage follow-ups with accuracy and urgency.
Perform regular chart audits and assist with administrative provider documentation.
Monitor and report patient concerns, care feedback, and operational issues to leadership.
Encourage patients to leave Google reviews to support clinic awareness.
TMS Technician Support (25–40%)
Assist with TMS equipment setup and provide treatment coverage as needed (training provided).
Support technicians with clinical flow and ensure sessions run smoothly.
Clinic Leadership & Culture
Act as a leader within your clinic, setting a tone of accountability, professionalism, and positivity.
Serve as a resource for clinic teammates and assist with onboarding new staff.
Foster a culture of compassion, communication, and collaboration—supporting both patients and peers.
Requirements:
What We’re Looking For
Bachelor’s degree required; psychology or a related field strongly preferred.
Minimum of 2 years of experience in a leadership, supervisory, or team lead role.
Prior experience in a healthcare, behavioral health, or medical office setting is highly valued.
Excellent communication and organizational skills.
Ability to stay calm and focused in a dynamic, patient-facing environment.
Tech-savvy and confident using electronic health systems and payment platforms.
