This position is a work from home position paying $15.00 an hour
POSITION SUMMARY
The Appointment Setter supports employU’s Vocational Services program by contacting referred clients and coordinating appointments for services such as vocational evaluations, job readiness/interview skills sessions, job coaching, and postplacement follow-ups. The role ensures that every client is scheduled promptly, confirmations are delivered, and all stakeholders—counselors, evaluators, and coaches—receive accurate, timely information so services can begin on schedule.

Essential Functions Statement(s)
Schedule client appointments by calling, texting, and/or emailing referred clients to agree on mutually convenient times for vocational evaluations, intake/orientation sessions, and ongoing service appointments.
Document appointments in the CRM and the shared program calendar; generate and send confirmation emails/texts to clients and appointment notifications to internal staff (e.g., vocational evaluators, job coaches, employment specialists). Assists with acquiring referrals for potential active clients, as needed.
Verify referral details and authorizations in coordination with Vocational Rehabilitation (VR) Counselors, ensuring required documentation (e.g., referral forms, service authorizations) is complete before the appointment date. Completes other required duties as directed.
Maintain weekly scheduling reports and share status updates with VR Counselors, Vocational Services leadership, and team members, flagging cancellations, no-shows, or reschedules.
Assist with incoming referrals by entering new client information into the CRM/database and prioritizing outreach according to program guidelines and contractual timelines.
Foster positive relationships with VR Counselors, community partners, and clients by demonstrating professional, courteous, and timely communication.
Protect client confidentiality and follow HIPAA and organization privacy policies at all times.
Complete other related duties as assigned to support the effectiveness of the Vocational Services program.

SKILLS & ABILITIES
Education: High school diploma or equivalent required; post-secondary coursework in business administration, human services, or related field preferred.
Experience: Minimum one (1) year of high-volume appointment-setting, call-center, or clerical experience. Prior work with Vocational Rehabilitation (VR), workforce development, or nonprofit social-service organizations strongly preferred.
Computer Skills: Proficient with Microsoft Suite, Adobe and web-based database systems; CRM experience preferred.
Certifications & Licenses: None.
Other Requirements:
Ability to work a flexible schedule that may include evenings or weekends to reach clients.
Commitment to maintaining confidentiality and ethical standards.
Strong attention to detail and ability to manage multiple priorities and deadlines.
Reliable computer, printer/scanner, smartphone with data plan, and high-speed internet connection.
Supervision: No supervisory requirements.
Travel: No routine travel required; occasional attendance at team meetings or training sessions may be requested.
