QUALIFICATIONS: High School diploma required; Associate Degree preferred; general knowledge of processing payroll including fringe benefits, employment contracts, worker's compensations, state and federal law as it applies to Public Schools; demonstrate competence in the use of computer data entry.

PERFORMANCE RESPONSIBILITIES:

Sets up new employees in the payroll system and/or deletes employees upon termination once they have been approved by the board and proper documentation has been received.

Sets up deductions, fringes and annuities codes in the system as approved by the Board of Education (BOE) and the State Department of Education (SDE).

Verifies and enters proper OCAS coding for all payroll expenditures as determined by the SDE.

Upon proper authorization from employees, enters deductions, fringes, annuities, etc.

Processes all timesheets and miscellaneous extra duties for each payroll period in a timely manner. This includes calculating, verifying and data entry of information received.

Reconciles payroll withholding/deduction checks to billings and makes timely monthly payments to insurance companies or government agencies.

Processes all verification of employment once documentation with an employee's signature has been received. Never verify information verbally over the phone.

Completes and files timely payroll returns and reports as required by IRS, SSA, SDE, TRS and all other agencies of local, state or federal government.

Processes any garnishments received in a confidential matter, making sure all deadlines are followed and proper withholding is made.

Maintains complete and accurate files on all employees.

Maintains records and files, which adequately document payroll activities (ie timesheets, extra duty sheets, payoff sheets etc )

Adds any manual payroll information in the system to account for personal use of school vehicles or other taxable obligations as necessary.

Processes, balances and issues W-2's in accordance with Federal and State law.

Processes payroll checks in a timely fashion. Creates file uploads for direct deposit and check register.

Coordinates with Cafeteria 125 provider for annual enrollment and process any and all changes due to open enrollment.

Handles all inquiries related to payroll and meets with employees as needed.

Processes all special payrolls including substitutes for each payroll period in a timely manner. This includes calculation, verification and data entry of information received.

Reviews various payroll summary reports for accuracy and makes correcting entries to payroll system where necessary.

Processes payroll checks and distributes to employees and substitutes on the dates established and published for the current fiscal year.

Assists in the preparation of all payroll checks for distribution including support, certified and any specials.

Reports any irregularities or discrepancies pertaining to any payroll activities or records to the finance director.

Maintains records and files, which adequately document payroll activities and transactions.

Maintains confidentiality.

Abides by all district policies and state and federal laws.

Performs other duties as assigned by supervisor.

TERMS OF EMPLOYMENT:

Number of days and compensation based on Board approved support personnel salary schedule and the employee work calendar.

EVALUATION:

Performance of this job will be evaluated annually by the Director of Payroll.

PHYSICAL DEMANDS:

Ability to stand, walk, squat frequently.

Ability to lift up to 10 pounds frequently.
