Job Description, Accountabilities, Duties and Tasks

Job Title: Customer Service/Warehouse Representative

Reports To: Branch Manager

Position Description: This job is an inside combination Customer Service and Warehouse position requiring broad-based skills and experience. The Customer Service side requires strong communication skills; verbal and written, computer competency as to data entry and operating system utilization and the ability to perform all tasks associated with the order fulfillment process. The Warehouse side of the position includes moving inventory items throughout the EED distribution system in support of the order fulfillment processes. This requires a person to be in good physical condition with the ability to operate or learn to operate various lifting devices, including a forklift.

Primary Accountabilities/Customer Service Functions:

1. Promptly respond to customer requests for price quotes, inventory availability and product features/benefits and technical/installation information.

2. Work diligently to achieve the Branch/Region sales and profitability objectives; including accounts receivable control and inventory management.

3. Maintain a neat, orderly and professional personal appearance as well as that of the Branch; working space, showroom and other designated areas of the facility.

4. Attend vendor sponsored and company training sessions to achieve a solid and continually improving level of product, application, installation and general industry knowledge.

Duties and Tasks:

1. Answer telephone calls, e-mails and fax requests in a prompt, polite and consistently professional manner.

2. Utilize the computer operating system to provide pricing and inventory availability information to the customer.

3. Promptly enter quotes into the system and consistently follow up with the customer to turn these into sale orders/invoices; including the processing of payment method.

4. Review quotes in the system on a daily basis. Delete any quotes for which the customer no longer needs. Save and rename any quote that may be needed later on for a specific customer price reference.

5. Provide the necessary order processing support for picking, packing and shipping the order according to the customer’s requirements.

6. When necessary, schedule and coordinate the shipping of orders via UPS, truck, FEDEX or other appropriate means.

7. Follow up with customers on delinquent/past due invoices providing any information necessary to secure prompt payment.

8. Provide customers with requested product/technical information based upon personal knowledge or additional support from other EED personnel or vendor technical groups.

9. Clean and maintain the office, showroom, warehouse, restrooms and any other designated areas on a daily basis.

10. Review system data base/information to satisfy daily and weekly reporting requests from management; calls, quotes, sales, administration requirements, etc.

11. Promptly process all product returns (RMA’s) in accordance with company and vendor policies.

12. Periodically conduct product/inventory cycle counts and report results to Branch Manager, Logistics Manager and Operations Manager as requested.

13. Participate in various company vendor and industry associated events; trade shows, exhibits, customer group functions, etc.

14. Attend company and vendor sponsored training programs on a regular basis.

15. Conduct oneself in accordance with the policies and procedures as designated in the Company Employee Handbook.

Primary Accountabilities/Warehouse Functions:

1. Insure all products are accurately received into, maintained and shipped out of EED Branch warehouses; including orders from vendors, customer orders, inventory transfers, customer product returns and to/from vendor Return Material Authorizations.

2. Provide vendor product pick up, customer order delivery and product return services via company and/or personal vehicle.

3. Maintain the warehouse, equipment and company vehicles in a neat, clean and well organized manner.

Duties and Tasks:

1. Receive all products into the warehouse. This means to unpack, inspect for damage, verify item and quantity ordered to quantity received, place in designated warehouse stocking location and submit supporting documentation to the Branch Manager.

2. Ship all products out of the warehouse; including customer orders, intercompany Branch inventory transfers and product returns to vendors. This means to pick, pack and stage for shipment while performing a minimum of two checks as to accuracy of item description and quantity.

3. Provide sales and order entry personnel with all supporting documentation related to the receiving and shipping of products.

4. Coordinate/schedule activities with freight carriers for shipment of all outgoing customer orders, inventory transfers and to vendor product returns. (UPS, FedEx, various trucking companies)

5. Load, establish quickest and most economical route, deliver and unload customer orders, insure proper signatures are attained for future proof of delivery.

6. Maintain warehouse and other specific facility areas in a neat, clean and well organized manner at all times.

7. Maintain company assigned vehicles in clean shape and insure all regular servicing is done as required.

8. Perform various other support activities and functions as requested by the Branch Manager. Maintain a positive and friendly attitude towards co-workers, vendors and customers at all times.
