About This Role The Office Coordinator is responsible for providing front desk, general office and other administrative support for the Company and headquarters facility.
This role will be the first point of contact for guests, visitors, and employees, providing excellent customer service and setting the tone for first impressions of the company, both in person and on the phone.
This role will ensure that behind-the-scenes administrative functions are carried out at a high-level efficiency and customer service.
The Office Coordinator partners with the Office Manager and other teams to support events and meetings, both onsite and offsite, as well as employee onboarding/offboarding, and appreciation, recognition activities, and any other general office support tasks.
This is a fully onsite position.
On a Given Day, Your Work Might Include * Welcomes visitors and employees to MN upon arrival, providing the desired overall experience and representation of our values.
Ensures all sign-in procedures are met and appropriate internal parties are promptly notified.
* Ensures the comfort of guests and visitors.
Keeps visitors informed of delays or changes in meeting locations.
* Answers inbound calls, monitors voicemail and front desk email, and responds to in-person and online inquiries and requests while maintaining a high degree of customer service and professionalism.
* Receives, sorts, and distributes inbound mail and packages.
May be asked to coordinate outbound mail or packages.
* Prepares and distributes "all company" communications to include employee meeting PowerPoint decks, event announcements, monthly office events calendar, and other all-employee communication systems and/or visual materials, to drive employee engagement and a sense of community.
* Participates in event planning and the execution of events.
Activities may include but are not limited to researching venues or vendors, requesting proposals, liaising with third parties, participating in set up and taken down of events and/or decorations, ordering and receiving large catering orders, and generally providing assistance as needed to the Personal Assistant and Office Manager.
* Partners with teams to provide catering support for meetings, interviews and other events as requested.
Maintains catering vendor relationships and materials for teams to easily facilitate the ordering process.
* Maintains general orderliness and presentation of front desk and lobby, kitchen, walkways, conference rooms and supply closets.
* Assists with office equipment and supply ordering and receiving.
* Assists with office and kitchen supply inventories and restocking.
* Assists with issuing and deactivates key badges, maintaining current list of badge assignments, and monitoring badge usage as needed.
* Maintains new hire gear inventory and supplies.
* Copies, scans, prints and files documents.
Maintains organization and upkeep of digital file records.
* Plans and executes employee recognition and appreciation activities.
* Plans and manages the twice a year uniform pop-up shops.
* Proactively identifies, solves problems, and manages office-related issues and addresses or supports employee queries or requests.
* Creates standard work to document processes and programs for the department.
* Partners with Office Manager on various ad hoc projects or requests.
* Develops and maintains good working relationships with a variety of people, including MN employees and external vendors or stakeholders.
* Assist with assignment of daily duties to the Office Assistant.
* Performs other related duties as necessary or assigned Physical Requirements: * This position requires frequent use of a computer, including keyboard functions and visual acuity of 20 inches or fewer on a daily basis.
* Sit, stand and walk for 1 - 8 hours per day.
* Lift, carry, push and or pull up to 50 lbs regularly.
* Squat/kneel, bend/stoop, twist/turn, grasp and reach overhead and outward regularly.
* Must be able to work 8 am - 5 pm, Monday through Friday, in the office.
Travel & Vehicle Requirements: * Some travel in 5-mile radius around the Bellevue office may be required; approximately once a week but could vary depending on the week.
* Valid WA State Driver's License.
* Acceptable driving record & proof of vehicle insurance What You'll Need to Succeed * High school diploma or equivalent required.
Bachelor's or equivalent preferred.
* 1-3+ years' experience in a similar or other admin-related role is strongly preferred.
* Proficient with Microsoft Office and Canva.
* WA State Notary Public strongly preferred but not required.
* Excellent interpersonal, relationship building, and verbal and written communication skills.
* Must demonstrate a high level of professionalism and a solutions-based approach in accordance with customer service best practices and Company standards.
* Strong organizational and time management skills.

The hourly range represents the anticipated low and high end of the hourly range for this position.
Individual placement within a salary range will vary based upon factors including but not limited to candidate experience, knowledge, individual, skills, and organizational performance.
