Position Type: Full-time

Pay: $50,000-$58,000 per year, dependent on experience and education

Job Overview

The Net Zero Grid team sits within the Accelerating Decarbonization group at Massachusetts Clean Energy Center (MassCEC), alongside Clean Transportation and High-Performance Buildings teams. The Accelerating Decarbonization group is the trusted innovation lab that removes or reduces barriers to swiftly implement the critical initiatives, solutions, and technologies needed to realize an equitable clean energy future for Massachusetts. The work of the Net Zero Grid team supports the development of a modern, reliable, resilient, equitable electric grid necessary to enable economy-wide electrification and substantial increases in deployment of the utility scale and distributed energy resources critical to meeting the Commonwealth’s climate goals.

The Net Zero Grid Program Administrator is a motivated and organized team player, with a strong commitment to helping Massachusetts achieve its 2050 net zero emissions goals. Background and/or interest in the electric sector and/or the electric grid is a plus.

The Program Administrator’s responsibilities will include coordination of, and participation in, program application review and contracting processes, and support in management of ongoing grants. The Program Administrator will also serve a key role as the primary stakeholder contact during the program processes. As such, the Program Administrator must demonstrate excellent communication skills with external stakeholders and a keen ability to track the details of complex, ongoing, multi-party projects. The Program Administrator will also conduct research and analysis tasks and projects, as needed, to support program and strategy development.

The Program Administrator reports to the Program Manager and/or the Senior Program Manager, depending on project work and team structure.

Job Duties

Specific duties of the Net Zero Grid Program Administrator include:

Providing comprehensive support to coordinate the day-to-day activities of Net Zero Grid programs:

Review applications for compliance with program requirements;

Manage application queues and tracking;

Provide timely responses to inquiries from applicants, potential applicants, awardees and other program stakeholders;

Record and maintain awards and invoices in the award management system, assist project teams to monitor their contracts and awards, ensure project/contract integrity, and track results;

Update project dashboards with the most recent project developments;

Draft communications, social media posts, and documents as needed;

Work with the communications team to update program information on the website and send emails about program updates to stakeholders;

In conjunction with Program Manager/s, draft programmatic requirements for grantee and consultant contracts;

Monitor project schedules and run reports to track project status, results and internal operating efficiency;

Alert Program Manager/s to potential problems and work cooperatively with the program team and relevant stakeholders to ensure prompt resolutions, including with grantees/consultants, and other parts of the organization as needed, including Finance, Legal, other team members and senior management;

Maintain detailed databases and supporting files on specific programs, including tracking files and key business documents, including project and program metrics, and ensure proper processing and archiving;

Assist with supervising NZG Fellow(s), as needed.

Program Development

Support program development process, including conducting research, supporting stakeholder outreach, drafting program requirements;

Support stakeholder engagement and work to ensure Net Zero Grid programs are furthering the Commonwealth environmental justice (EJ) and equity goals;

Support Program Manager in program development, including maintaining internal schedules, development steps, and external communications;

Proactively review, adjust, and enhance existing program administration workflow and tools in response to program design changes or opportunities for operating efficiency.

Position Qualifications

Education:

Bachelor's degree, preferably in energy or environmental science/studies, economics, business management or related field, or equivalent experience and knowledge.

Experience:

This is an entry-level position.

At least one year of experience in project administration or other relevant position is a plus;

Experience in the public sector, renewable energy industry or grant administration is a plus; If no experience, a clear interest and passion for contributing to the renewable energy, climate, and/or public sectors; and,

At least one year of experience using Microsoft Excel, Word and Outlook in a work setting is a plus.

Knowledge, Skills, and Abilities:

Demonstrated ability to manage multiple priorities effectively;

Demonstrated ability to get up-to-speed quickly and work independently;

Excellent quantitative, research and analytical skills;

Excellent problem-resolution skills, and demonstrated ability to make informed decisions;

Team-first attitude and the capacity to be flexible in a dynamic work environment;

Demonstrated ability to work with internal and external stakeholders, and cultivate appropriate relationships;

Ability to read and absorb complex contracts, polices, rules, etc. and extract the information needed to ensure compliance with each;

Experience with analyzing data in Excel and managing databases/data sets; and,

Interest in environmental justice.

Knowledge of basic accounting and payment processing (budgets, invoices, etc.) a plus.
